About The Position

The Center for Children with Special Needs, CCSN, is hiring an Administrative Site Lead to serve as the administrative leader for CCSN's newest location in Westbrook, CT Position Summary The Site Lead is responsible for overseeing daily operations within their assigned clinic location. This role ensures that administrative and facilities-related processes run smoothly in alignment with CCSN standards. The Site Lead acts as the primary on-site point of contact for administrative support, workflow escalation, facilities coordination, safety compliance, and patient/family experience. They partner closely with Clinic Program Directors to ensure efficient site operations that support high-quality clinical care.

Requirements

  • 2+ years of administrative or operational coordination experience in a healthcare, clinical, or educational environment.
  • Strong organizational and multitasking skills.
  • Excellent communication and patient-service orientation.
  • Ability to problem-solve, triage issues, and maintain calm under pressure.
  • Proficiency in scheduling systems, Microsoft 365 tools, and electronic documentation platforms.

Nice To Haves

  • Experience supporting ABA, behavioral health, outpatient clinical services, or related settings.
  • Prior leadership, and training support experience.
  • Knowledge of CCSN-specific operational tools (e.g., CentralReach, Brivo platforms) if applicable.

Responsibilities

  • Oversee day-to-day workflow of front-desk, and administrative activities.
  • Direct and complete daily clinic scheduling and staff coverage assignments.
  • Ensure clinic is open, staffed, and operating according to CCSN policies and schedules.
  • Monitor clinic environment for safety, cleanliness, and readiness, escalating facilities needs promptly.
  • Serve as the primary on-site support for Behavior Technicians, clinicians, and administrative staff.
  • Coordinate with front office team regarding Behavior Technician scheduling and coverage management
  • Ensure families receive a consistent and supportive experience upon arrival and throughout their visit.
  • Troubleshoot scheduling or communication concerns and escalate to the appropriate clinical lead or administrative
  • Maintain professional visibility within the clinic to support family questions and service coordination.
  • Ensure adherence to CCSN policies related to safety, emergency procedures, documentation standards, and confidentiality.
  • Monitor supply inventory and coordinate ordering to maintain required clinical and administrative materials.
  • Partner with facilities teams to resolve environmental, safety, or maintenance concerns.
  • Track site-level metrics related to staffing, attendance, operational performance, supply usage, and incidents.
  • Participate in weekly administrative operations meetings.
  • Work closely with the Clinic’s Program Directors and Admin Director to ensure alignment with clinical objectives and organizational priorities.
  • Support implementation of new operational procedures, workflow improvements, and organizational initiatives.
  • Provide mentorship and formal supervision to administrative team members at the site.
