About The Position

We are currently looking for a talented Short-Term Vacation Rental Manager to join our hotel team at Silver Birches Resort within Settlers Hospitality. The Short-Term Rental Manager oversees and coordinates daily operations of our short-term rentals in the Lake Wallenpaupack region to ensure highest standards for cleanliness, product quality, and guest service. The ideal candidate will be positive, energetic and knowledgeable of short-term rental operations. Must be hands-on in all aspects of the day-to-day operation with the focus on excellent customer service and exceptional guest experience. Must have flexible schedule and be able to work evenings, weekends and holidays. Some training/coursework in hospitality management is preferred and at least two years of experience in a similar role (customer service, front desk, etc.), preferably in a short-term rental capacity. He or she is an individual who is poised, confident, organized, prompt, articulate, and helpful with a strong customer service focus. Candidates must be computer literate, internet savvy, mathematically strong, telephone proficient, and highly organized.

Responsibilities

  • Provides concierge level service to guests pre-arrival and during stay; including coordinating guests needs and delivering all guest requests in advance.
  • Ensures that guests are aware of and book reservations and services within Settlers Hospitality, including booking dining reservations, suggesting activities, and helping plan excursions and experiences.
  • Creates a welcoming and seamless arrival experience for guests, attending to all details for check-in, processing payment, and providing information about the rental unit and local attractions.
  • Anticipates and assesses guests' needs, responding in a courteous and professional manner.
  • Respond to guest inquiries and resolves any complaints.
  • Replies promptly to lodging inquiries on various platforms such as Airbb, VRBO, Hostfully and Evolve, and within the timeframe required by each platform.
  • Manages reservations and bookings.
  • Completes thorough property inspections with the rental property to ensure it is clean, meets safety standards, and is ready to be occupied.
  • Accurately processes the payments and executes any billing procedures that are set up.
  • Schedules and dispatches housekeeping to clean the units, in collaboration with hotel operations teams.
  • Works with the sales team and operations teams on matters pertaining to guest reservations, ensuring listings are accurate and well positioned in an online search.
  • Communicates with management and/or maintenance to report maintenance and/or repair needs.
  • Monitors and maintains proper inventory of all supplies; cleaning, kitchen, guest toiletries, etc.
  • Trains, supervises, motivates, and develops knowledge about short-term rental properties so that all front desk, housekeeping, and maintenance employees have information needed to deliver in their departments. Coordinates work between departments to ensure successful implementation.
  • Coordinates with vendors and contractors for property maintenance in collaboration with Maintenance Supervisor.
  • Handles emergency situations promptly and effectively both on and off regular hours.
  • Manages rental calendars for all properties, communicating with property owners effectively.
  • Works with property owners to navigate and resolve repairs in a timely manner.
  • Shares inventory of supplies with property owners, and ensures all rental units are fully furnished with adequate household supplies and materials.
  • Performs other related duties as assigned by management.
