About The Position

The Shipping Administrator is responsible for managing and coordinating the daily operations of our shipping and logistics processes. This role involves processing shipping orders, preparing documentation, and ensuring compliance with domestic and international shipping regulations. The Shipping Administrator will work closely with carriers, customers, and internal teams to ensure timely and accurate delivery of products. This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously in a fast-paced environment. This role will need to work the assigned shift, including any mandatory overtime.

Requirements

  • High School diploma or GED.
  • Previous experience in a shipping or administrative position.
  • Proficient in MS Excel, Word, and PowerPoint Microsoft applications.
  • Proficiency in using shipping and logistics software (e.g., ERP systems, TMS - Transportation Management Systems).
  • Excellent customer service skills for interacting with clients, suppliers, and shipping carriers.
  • Proficient in monitoring shipments, tracking deliveries across various carriers, and ensuring timely updates and issue resolution.
  • Results driven and self-motivated.
  • Positive attitude and customer focus.
  • Strong track record of dependability and punctuality.
  • Accurate and efficient data entry skills for processing shipping orders and updating databases.
  • Strong attention to detail and organizational skills.
  • Prioritize tasks to meet deadlines.
  • Work collaboratively with colleagues to achieve common goals.
  • Ability to understand, read, and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to work schedule as assigned.

Responsibilities

  • Invoice orders that have shipped.
  • Track backorders emailing PM team daily, updating system to next ship date.
  • Send shipping schedule to PM team.
  • Monitor and update schedule manager/production schedule.
  • Create production packets.
  • Create shipping ppw.
  • Monitor and answer emails for any changes to production and shipping schedules.
  • Update production and shipping schedules per email approvals.
  • Scan and file completed paperwork [shipping & receiving].
  • Print Pick tickets and sales rep paperwork for pickers.
  • Keep work areas clean and organized, adhering to safety protocols and regulations.
  • Maintain regular and reliable attendance, arrive on time for scheduled shifts, and adhere to the company’s attendance policies and procedures.
  • Other duties as assigned.
