About The Position

As a Servicing Transfers Document Image Management Specialist, you will be supporting the Servicing Transfers team in ensuring that Valon receives, ingests and classifies data files and document images timely and completely in connection with each servicing transfer and / or partnership. Key areas of responsibility will include (but are not limited to): File Delivery: Ensure Data Provider can deliver files to the appropriate destination/format in a timely manner. File Movement: Ensure timely upload of delivered files to Valon Systems. Document Image Processes: Classify and onboard files to the Servicing System. Data File Processes: Send files to appropriate batches to be consumed. We are looking for an individual with experience in file movement and transmission to support this work within the Servicing Transfers organization. In addition to executing this work, we’re also looking for someone who will be able to help us document and operationalize this space as we continue to grow and scale our business. The right candidate is execution-minded, detail-oriented, deadline-driven and an independent thinker and operator. While experience working in the mortgage servicing industry is not required, familiarity with mortgage documents and data files would support a smooth transition into this role.

Requirements

  • Onsite in Phoenix, Arizona office
  • Bachelor’s Degree preferred
  • 3-4+ years of experience working in data / document transfers management
  • Experience with data file configuration / movement using SFTP, HDD, USB, GCP (Google Buckets)
  • Basic domain knowledge around mortgage industry documents
  • Excellent communication skills (both verbal and written)
  • Excellent ability to troubleshoot and identify backup plans
  • Excellent organizational skills and attention to detail

Nice To Haves

  • Prior experience working in imaging department of mortgage servicer / imaging vendor
  • Domain knowledge around mortgage industry documents and data files (especially ICE / MSP)
  • Experience operationalizing / building processes in imaging department of mortgage servicer / imaging vendor
  • Experience with large-scale servicing systems (ICE, Sagent)
  • Considered within the entire company to be an expert in their process areas
  • Exceptional project management skills and ability to prioritize and complete multiple projects with deadlines and high velocity
  • Bonus: Experience building out automated data file movement / ingestion

Responsibilities

  • Ensure that data and document image transfers and associated processes are on track for timely completion ahead of transfer-related deadlines
  • Ensure complete ingestion of data files / document images using Valon’s data file movement framework
  • Escalate delays in data file / document image management and work with internal and external stakeholders to identify backup plans for timely execution
  • Act as internal expert on data file / document image delivery methods to Valon
  • SFTP setup
  • Coordinate with third parties leveraging Valon SFTP to:
  • Share credentials
  • Share delivery limitations references (format, folder structure)
  • Confirm receipt of document / data file delivery
  • Troubleshoot issues with file delivery
  • Ensure files are in the correct folders before movement ingestion (and move to correct folders if not)
  • Set up File Integration and configure data files on a transfer/ partnership basis using Valon’s internal data file movement system
  • Implement document classification mappings
  • Monitor execution of document classification and work with Servicing Transfers deal teams to ensure classification thresholds are met timely
  • Manage relationship with third party data extraction and indexing vendor
  • Coordinate with data extraction and indexing vendor on document delivery and receipt
  • Operationalize data file and document image management-related processes by creating training materials, writing standard operating procedures, documenting best practices, and driving the adoption of new procedures
