Mason/Apperture Solutions. The IT/OT Planner plans and manages pipeline forecasts and open-project backlog, maintains a consolidated, living Gantt across Automation, Apperture Solutions, and Shared Services, and partners with Regional/Department Resource Leads to place the right people, with the right skills, at the right time. In addition to attending resourcing and pipeline calls to ensure coverage, the IT/OT Planner oversees day-to-day logistics: issuing and tracking work orders, coordinating service-agreement commitments, confirming engineer availability, and contacting customers to align site access and dates. For larger initiatives, the IT/OT Planner leads the strategic staffing approach developing, monitoring, and adjusting resource plans as priorities evolve so projects start on time, stay on plan, and meet customer expectations.

Requirements

  • Technical & Systems Proficiency with Jira or other ERP system for creating, tracking, and reporting on tasks and assignments. Ability to maintain and interpret Gantt and calendar views for resource planning. Strong Excel skills for data management and reconciliation. Familiarity with Power BI or similar platform for reporting and dashboarding
  • Planning & Coordination Experience in pipeline and backlog management. Ability to lead resource planning calls and collaborate across multiple departments. Familiarity with resource skills matrices for informed assignment decisions.
  • Communication & Customer Interaction Excellent stakeholder communication skills. Professional customer engagement for scheduling and service coordination.
  • Organizational & Problem-Solving Strong organizational skills to manage multiple priorities. Ability to make data-driven decisions on resource allocation. Self-directed, self-motivated, and detail oriented
  • Be a United States Citizen with a valid driver’s license
  • Associate’s or Bachelor’s degree in Business Administration, Project Management, Information Technology, or a related field. (Bachelor’s preferred, but equivalent experience may be considered.
  • 2-5 years in resource coordination, project scheduling, or workforce planning.
  • Hands-on experience with work management tools (Jira strongly preferred).
  • Demonstrated ability to manage Gantt and calendar views for resource planning.
  • Experience in pipeline/backlog management and cross-functional scheduling.
  • Strong proficiency in Excel and familiarity with data reconciliation.

Nice To Haves

  • Technical Experience integrating Excel inputs and Jira workflows for resource planning.
  • Knowledge of capacity planning tools beyond Jira.
  • Process Improvement Demonstrated ability to analyze and improve resource planning workflows.
  • Familiarity with continuous improvement methodologies (e.g., Lean, Six Sigma).
  • Industry & Role-Specific Understanding of automation and control systems services or similar technical environments.
  • Prior experience coordinating contractor onboarding/offboarding.
  • Exposure to automation/control systems or IT/OT services.
  • Additional Tools Exposure to project management frameworks (Agile, Waterfall).
  • Ability to generate reporting dashboards for resource utilization.

Responsibilities

  • Pipeline Management Pull weekly pipeline reports and review upcoming demand. Ensure high-priority pipeline items have tentative resource assignments through close coordination with Regional Resource Leads.
  • Backlog Planning Maintain an accurate “Open Project Backlog” with the latest resource allocations in collaboration with the PMO.
  • Resourcing Gantt Own the Gantt as the resourcing source of truth by building and maintaining it from Jira projects, tasks, and assignments. Ingest inputs from Excel or email (e.g., pipeline snapshots, staffing notes) and normalize them into Jira so the plan remains consistent and auditable. Publish and maintain schedule visualizations- Gantt and calendar views- derived from Jira to analyze capacity, highlight conflicts, and support decision-making. Distribute updated resourcing plans (Gantt links/exports and calendar snapshots) to stakeholders on a defined cadence and ahead of planning calls. Ensure data integrity by reconciling Jira assignments against pipeline and backlog changes and closing any gaps with Regional Resource Leads and PMO.
  • Contractor Coordination Facilitate onboarding, offboarding, and communication with contractors with Business Lead support. Assist in preparing resumes for resource proposals.
  • Staffing & Resource Planning Recommend staffing solutions to meet forecasted demand. Lead resource planning calls with stakeholders from each department to identify skill and schedule gaps. Use a resource skills matrix to make informed decisions on assignments. Provide team members with clear schedules and task visibility.
  • Work Management & Process Improvement Utilize Jira to create and track work tickets across multiple teams. Monitor overall resource planning workflows and identify opportunities for improvement. Drive enhancements to scheduling and allocation processes for greater efficiency.
