About The Position

The primary purpose of this position is to administer the inspections and service request process from initial contact through completion, interacting with residents, staff, County, and vendors. The incumbent inputs service request data into recordkeeping systems and maintains related files and records. This position also coordinates the response to lease violations in accordance with the lease. All activities must support Nelson & Associates, Inc.’s mission, strategic goals, and objectives.

Requirements

  • Must demonstrate excellent verbal and written communication skills.
  • Must have good people’s communication skills.
  • Must be able to drive, have a current operator’s license and insurable driving record, be bondable and have a high school diploma or GED.

Responsibilities

  • Receives, scans, and files all inspections & complete service requests, including, but not limited to, inputting service requests into the appropriate software system; documents service requests, communicates information to maintenance managers & supervisors, and close out work orders.
  • Conducts annual inspections / Health Department inspections, scheduled reinspection’s, and housekeeping inspections. Generate work orders for all failed items. Reports inspection results to appropriate staff/residents.
  • Coordinates and participates in follow up inspections; reviews service request information to determine maintenance fees for residents; creates letter stating charges; archives related information.
  • Reviews inspection reports and releases units from maintenance for leasing.
  • Ensures completion of appropriate work order documentation and maintains electronic files of completed service requests.
  • Coordinates, schedules, and communicates with residents regarding pest control services, reinspection results, including monthly services, special treatment, and follow-up.
  • Communicates on a daily and frequent basis with the appropriate staff personnel regarding service requests and completion; coordinates maintenance services request tickets and closes service requests after they are complete; inputs any charges due.
  • Prints out daily service request tickets, prepares semi-monthly reports of outstanding and completes service requests.
  • Monitors time of completed and outstanding work orders.
  • Serves as a backup to program staff by responding appropriately to residents’ issues, including conducting meetings with residents.
  • Performs other related duties as assigned.
