About The Position

Davidson Ford is looking for an operations assistant to join our busy service department! We take pride in what we do here and that includes taking care of our employees and our customers. This position works mostly independently, but supports the Service Department and its team members. Requirements

  • A multi-tasker who can provide excellent customer service.
  • Advanced ability to display empathy towards customers.
  • Problem solving.
  • Excellent verbal and written communication skills.
  • Customer contact experience required.
  • Empathetic and patient personality.
  • Proficiency with technology.
  • Must be at least 18 years of age and have a valid driver’s license

Nice To Haves

  • Automotive experience.
  • Prior experience in sales, retail, customer service, or administrative.
  • Previous scheduling experience.

Responsibilities

  • Research customer care concerns and repair statuses.
  • Follow up with Service team members on open action items.
  • Works empathetically with customers to resolve concerns.
  • Performs department support functions such as: assisting with purchase orders; documenting departmental processes; completing loaner paperwork; and assisting Service Manager with other tasks as needed.
  • Gathers necessary documentation and submits payment requests to service contract companies.
  • Researches and helps close open repair orders.
  • Ensures all complete repair orders have all necessary documentation included prior to scanning and filing.
  • Submits and follows up on manufacturer customer care cases
  • Ensures that all calls are handled in a timely and effective manner with a focus on excellent customer service.
  • Follows up with Advisors and Service Manager on outstanding customer concerns.
  • Serves as backup to Service Advisors as necessary.
  • Assists with inventory and internal Repair Order management including opening dispatching and closing repair orders.
  • Remains knowledgeable about our current procedures and products.
  • Follows up on email inquiries in a timely manner.
  • Helps manage communications for other service team members via established lines of communication.
  • Answers inbound phone calls and makes outbound calls.
  • Sets and confirms appointments.
  • Scans and files.
  • Other duties may be assigned as needed.
