This position is responsible for organizing, scheduling, and managing the flow of activities for the field technicians. They monitor/adjust the daily schedule as needed to complete the expected and upcoming work in the short term. This position is responsible for collaborating with service managers, office staff, sales staff, field technicians, contractors, and customers to ensure smooth and profitable projects from start to finish.

Requirements

  • 1-3 years of industry experience or a related customer service experience required
  • Proficient skills in Microsoft Office, including Microsoft Word and Microsoft Excel
  • Excellent customer service and problem-solving skills
  • High quality organizational skills
  • Excellent communicator with customers and team members
  • Highly organized and self-disciplined
  • Intermediate computer skills, including Microsoft Office experience
  • High attention to detail
  • Quick learner and self-starter with the ability to work in a fast-paced, growing company.

  • Previous administrative experience preferred

Responsibilities

  • Schedule appointments for clients, answer phones and track clients’ service records
  • Assess the service needs of clients and connect them with the correct provider
  • Fields customer service and repair requests, creates work orders, and schedules technicians.
  • Prepares for scheduled work, including parts requisition, site visits, plan review, permit submittals and inspections.
  • Tracks technician performance, including compliance with applicable codes and laws.
  • Provides a high level of communication with customers throughout timeline of scheduled services and ensures customer satisfaction.
  • Manages technician electronic timecard review and approval
  • Supports Service Manager with new customer onboarding process and manages service and repair implementation.
  • Maintains accurate customer data in digital database.
  • Maintain technician vehicle equipment and inventory and performs vehicle inspections and evaluations.
  • Reviews completed service and repair orders and prepares and commits customer invoices.
  • Audits profit and loss data for service and repair activities and reviews budget adherence.
  • Maintaining profitability of work
  • Cross-coordinate technician schedules with Inspection Coordinator.
  • Act as backup and support for duties of the Inspection Coordinator as needed.
  • Maintains a professional image that reflects the core values of Pye Barker Fire & safety
  • Ensures and safeguards a World Class Service customer experience.
  • Answer telephones and respond to email inquiries in the office
  • Perform other duties assigned by management.
  • Adheres to the Code of Conduct, Confidentiality Agreement, and Company Safety Policy.
  • Performs other duties as assigned.
