AMSI Services, a division of VMG, is seeking an organized and detail-oriented Service Coordinator to support our fast-paced service operations team. This role is critical to ensuring efficient scheduling, clear communication, and seamless coordination between customers and field technicians. You will play a key role in keeping service operations running smoothly while delivering a high level of customer service.

Requirements

  • 2+ years of experience in service coordination, dispatch, or administrative support
  • Experience in HVAC, mechanical, or construction service environment preferred
  • Familiarity with ServiceTitan or similar dispatching software is a plus
  • Strong organizational and multitasking abilities in a fast-paced environment
  • Excellent communication and customer service skills
  • Proficient in Microsoft Office (Outlook, Excel, Word)
  • Ability to stay organized and calm under pressure

Responsibilities

  • Schedule and coordinate HVAC service calls with customers and field technicians
  • Dispatch technicians based on skillset, location, and priority
  • Communicate with customers to confirm appointments, provide updates, and ensure satisfaction
  • Maintain an accurate and up-to-date service schedule
  • Create, review, and close out work orders and service tickets
  • Order and track parts required for service jobs
  • Track open service calls and follow up to ensure timely completion
  • Support billing by ensuring work orders are complete and accurate
  • Assist with warranty tracking and maintenance contract coordination
  • Serve as a liaison between field teams, customers, and internal departments
  • Maintain accurate records in ServiceTitan or similar systems
