Requirements

  • Minimum 5 years of administrative support experience in a professional corporate environment (medium to large organization)
  • Proven track record supporting executive and senior-level management
  • Bachelor's degree required
  • Advanced proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint)
  • Demonstrated ability to quickly master new software platforms and systems
  • Exceptional organizational skills with keen attention to detail
  • Proactive approach to work with strong ability to prioritize and multitask
  • Excellent performance under pressure while managing competing deadlines
  • Professional demeanor with friendly, client-focused attitude
  • Collaborative team player who contributes to a high-performing administrative culture

Responsibilities

  • Provide executive support to multiple senior leaders simultaneously
  • Manage complex calendars for internal and external meetings, conferences, and calls across multiple time zones
  • Coordinate international and domestic travel arrangements; prepare comprehensive itineraries and logistics
  • Review, cross-reference, format, and assemble investment documents and investor presentations with meticulous attention to detail
  • Maintain and update internal databases and contact information in Outlook and proprietary systems
  • Oversee team budget management and process expense reports using Concur
  • Coordinate events and conferences, including registration, hotel accommodations, catering and restaurant reservations
  • Provide professional phone coverage, screening and routing calls
  • Serve as backup support for administrative team and front desk operations
  • Handle light office maintenance and ad hoc projects as needed
