About The Position

Under general supervision, performs secretarial and administrative support for assigned area. Education High School, GED, or equivalent; completion of a course in touch typing to enable accurate typing of at least 40 wpm. Experience Three (3) years experience (Additional education beyond high school may be substituted for experience). Skills General knowledge of office practices, procedures, and equipment; of business English, spelling, punctuation, grammar and arithmetic. Skill in using a variety of office software applications, such as word processing, spreadsheets, presentation packages, and database applications to produce documents. Skill in understanding and following oral and written instructions and in communicating effectively both orally and in writing. Skill in proofing office correspondence, forms, and other work product for typographical errors, spelling, grammar, and punctuation. Skill in performing basic arithmetic calculations. Skill in accurate alphabetical and numeric filing. Principal Duties and Responsibilities Answers phones and greets visitors; screens calls and announces visitors, ensuring timely and customer-focused service. Schedules appointments for a variety of departmental personnel and/or patients/customers, using manual and/or electronic scheduling systems. Types and formats a variety of documents such as letters, memoranda, reports, meeting minutes, and forms from rough drafts, using a variety of software applications, and proofreads work product for typographical errors, spelling, grammar, and punctuation. Opens, sorts, and distributes incoming mail and prepares outgoing mail. Sets up and maintains the organization of the office record keeping systems, and enters, updates, and retrieves information stored in files and databases. Performs a variety of clerical tasks in support of office operations such as running errands, performing copy work and assembling documents, ordering supplies, and preparing bulk mailings. Gathers materials, obtains documents and background information for reports and other purposes in accordance with specific instructions. Ensures confidentiality of information. Assists in preparing and administering office accounts and records, and posts information accurately to records, logs, accounts, or ledgers, according to established procedures. Oncology Support Only Assists in the coordination of the Cancer Resource Center (i.e. maintains up to date materials; triages referrals). Assists in organizing cancer support groups (i.e. registration, meeting rooms, flyers, correspondence with speakers and facilitators). Assists with coordinating transportation for patients coming to GBMC for cancer treatment.
