About The Position

Hayward Holdings Inc. Hayward designs, manufactures, and markets a full line of residential and commercial pool and spa equipment including pumps, filters, heating, cleaners, salt chlorinators, automation, lighting, safety, flow control and energy solutions at our company owned facilities. Headquartered in Charlotte, North Carolina, Hayward also has facilities in Tennessee, Arizona, and Rhode Island as well as Canada, Spain, France, Australia, and China. The Sr. Payroll Tax Analyst oversees the company’s payroll tax process and compliance, as well as the preparation and auditing of weekly/ bi-weekly payrolls for North America (NAM) employing best practice while maintaining a firm disposition on accuracy and compliance. This role reports to the VP, Global Total Rewards.

Requirements

  • Bachelor's degree with five years’ practical experience shown below; or equivalent combination of both
  • Progressive payroll tax experience in a complex, multi-state environment.
  • Strong analytical and problem-solving skills, attention to detail, and payroll principles
  • Proficiency in HRIS and payroll software/ systems and practices, as well as deep skill set in excel
  • Strong in communication, collaboration and interpersonal skillset
  • Thorough regulatory knowledge and application of payroll and taxation in US and Canada
  • Exceptional skills in customer service, time management and response/sense of urgency

Responsibilities

  • Serves as the subject-matter-expert on company payroll taxation, including wage limits, reciprocity rules, multi-state withholding, and unemployment tax complexities
  • Lead interactions with tax agencies regarding assessments, penalties, and compliance matters
  • Maintains the federal and multi-state tax reporting systems/ processes in compliance with all regulations and laws to avoid penalties and minimize costs
  • Ensures all payroll tax information is accurate and compliant with federal, state, and local tax laws, including calculating tax deductions for employees and the organization
  • Analyzes multi-state payroll tax data and performs calculations, and ensures that payroll information is reported federal, state and local agencies as may be required
  • Research and implement tax strategies to minimize tax liabilities and resolve complex payroll tax notices from federal, state, and local authorities
  • Leads the year-end process in alignment with the payroll vendor and payroll colleague
  • Manages quarter-end and year-end payroll tax reconciliations, including Forms 941, 940, W-2, T4, and related filings
  • Administration of payroll tax activities (federal, state, local withholdings) for assigned legal entities including distributions of tax remittances according to tax jurisdiction guidelines
  • QA W2 corrections and reissues
  • Supports / prepares the processing of accurate and timely federal, multi-state and multi-jurisdiction withholding tax payments
  • Remediation of aged/ historical tax related discrepancies, multistate entity account set up/ closures, government tax notices and debts/ refunds by Identifying root causes of tax discrepancies and implementation of corrective actions to prevent recurrence
  • Maintain up to date repository of tax records, decisions, and account related information
  • Partners with internal stakeholders as needed; Corp Tax, Treasury, HRBPs, Legal · Review and validate tax configurations within Workday HCM and ADP Smart Compliance to ensure accurate tax withholding and reporting
  • Co-manages the weekly and biweekly payroll administration and year-end processes for North America, carries out assigned steps of the payroll process outlined in the SOW/SLA with outsourced vendor, in partnership with corporate HR and field locations, ensuring on-time delivery and accuracy
  • Maintains accurate records essential for audits and tax filings
  • Performs payroll functions within legal guidelines of state and local authorities
  • Performs on-cycle/off-cycle audits and reconciliations, troubleshoots errors in each pay run, communicates outcomes to the appropriate parties for resolution
  • Ensures all proper and legally required deductions are made from paychecks develops/ updates company payroll processing schedules and ensures availability to appropriate contacts
  • Addresses payroll inquiries and concerns promptly and professionally
  • Assists in the reconciliation of unique payroll run issues with the Corporate Accounting Department, as needed
  • Partners with internal stakeholders and vendors to ensure compliance and timely mandatory regulatory reporting (ie. Affordable Care Act, EEO, SOX, etc.)
  • Leads and/or participate in project teams supporting payroll implementations, transitions, process improvement, and Corrective measure objectives
  • Participate in UAT system testing to ensure accuracy and timeliness (i.e. payroll runs, implementations, etc.)
