The Senior Payroll Accountant is responsible for owning the accurate and compliant processing of weekly multi-state payroll within ADP Workforce Now while strengthening payroll controls, tax compliance, and payroll-to-general-ledger integrity. This role is critical to supporting a growing federal infrastructure contractor operating across approximately 15 states. The position will initially focus on processing accuracy, compliance stabilization, and procedural improvements, with the opportunity to evolve into a payroll leadership role as the organization scales.

Requirements

  • Bachelor’s degree in Accounting, Finance, or related field preferred
  • Associate degree with significant payroll experience considered
  • 5+ years of payroll processing experience
  • Multi-state payroll experience required (5+ states preferred)
  • Experience with ADP Workforce Now strongly preferred
  • Experience with prevailing wage and certified payroll highly preferred
  • Experience reconciling payroll tax filings to general ledger
  • Experience managing state tax registrations and notice resolution
  • Experience working within accounting systems such as QuickBooks
  • Strong working knowledge of federal and state payroll tax regulations
  • Understanding of payroll integration with general ledger and project/job cost systems
  • Familiarity with payroll data mapping during ERP transitions
  • Proficiency in Excel (pivot tables, lookups, reconciliations)
  • Ability to manage complex payroll scenarios and meet strict deadlines
  • Strong understanding of payroll internal controls and segregation of duties

Nice To Haves

  • Experience with or exposure to Deltek Costpoint strongly preferred, particularly in a government contracting or project-based environment
  • Experience supporting ERP implementations, system transitions, or payroll module integrations preferred

Responsibilities

  • Process and review weekly payroll in ADP Workforce Now, including off-cycle payroll runs
  • Review time, earnings, deductions, and pay adjustments for accuracy and compliance
  • Validate payroll funding amounts and control totals prior to transmission
  • Lead and complete the annual 401(k) plan audit process
  • Process certified payrolls as required by project specifications, ensuring compliance with prevailing wage and fringe benefit regulations
  • Upload periodic payroll reports to corporate system (PeopleIQ) and resolve any discrepancy errors
  • Complete reconciliation of employee benefit deductions and Fidelity funding amounts to ensure accurate payments
  • Collaborate with People team to ensure employee payroll changes are addressed timely and accurately in payroll system
  • Serve as primary contact for payroll-related employee inquiries
  • Ensure compliance with federal, state, and local payroll tax regulations across 15+ jurisdictions
  • Manage state tax registrations for new work locations and maintain tax account records
  • Review ADP payroll tax filings, deposits, and year-end reporting (W-2, 941, state returns)
  • Reconcile payroll tax reports to the general ledger
  • Monitor and update state unemployment insurance rates
  • Resolve state and local tax notices in coordination with ADP and taxing authorities
  • Support reciprocity and multi-state sourcing considerations as business expands
  • Ensure payroll compliance with Davis-Bacon and prevailing wage requirements
  • Review and validate wage classifications and fringe allocations
  • Support preparation and reconciliation of certified payroll reports (WH-347)
  • Maintain documentation supporting wage compliance for audit purposes
  • Prepare and post payroll journal entries
  • Reconcile payroll clearing, tax, and benefit liability accounts
  • Reconcile payroll registers to the general ledger
  • Support month-end and year-end close processes
  • Maintain and improve payroll process documentation and internal control procedures
  • Support internal and external audit requests, including regulatory or federal compliance audits
  • Assist with bank reconciliations
  • Support accounts payable processing
  • Assist with fixed asset tracking and reconciliations
  • Support special accounting projects as assigned
