About The Position

The Senior Operations & Crew Co‑Ordinator is responsible for co‑ordinating crew travel, training, certification and database management. You will work closely with internal teams and external partners to ensure crew are deployed effectively, records remain accurate, and all compliance requirements are upheld.

Requirements

  • Competent user of Microsoft Office, particularly Excel and Outlook.
  • Experience maintaining structured records or databases.
  • Understanding of health, safety and compliance within an operational environment.

Responsibilities

  • Act as the primary point of contact between Heidelberg Materials and associated ship management partners for crewing matters.
  • Ensure all crewing databases and records are accurate, up to date, and routinely monitored.
  • Serve as the main contact for sea staff, responding to queries and providing support.
  • Undertake vessel visits as required to meet with crews on board.
  • Organise and administer periodic crew changes, ensuring travel is timely, cost‑effective and operationally efficient.
  • Arrange logistics for joining and leaving crew, using appropriate transport options.
  • Maintain accurate records of all crew travel arrangements and associated costs.
  • Ensure travel expenditure remains within approved budgets.
  • Produce a monthly Crew Activity Report summarising current crewing activity.
  • When required, arrange agency sea staff, maintain records, reconcile invoices, and report discrepancies.
  • Organise and administer training for UK‑based seafarers, ensuring cost-effective and compliant delivery.
  • Liaise with training providers to coordinate apprentice programmes, including college attendance and vessel allocation.
  • Identify training needs and arrange appropriate courses.
  • Train and support personnel involved in crewing activities.
  • Support the administration of the crew manning matrix and staff assignment to vessels.
  • Ensure vessels are manned in accordance with qualification matrices and required tours of duty.
  • Verify that all sea staff, including agency workers, hold valid qualifications and medical certificates.
  • Maintain up‑to‑date statutory certification records for all personnel.
  • Maintain accurate databases of crew information and vessel movements, liaising closely with crewing partners.
  • Comply with all corporate health, safety and environmental policies and procedures.
  • Carry out duties in line with Safety Management Manual Procedure B4.
  • Undertake any other reasonable tasks as required.
