About The Position

The Senior Operations Associate plays a key role in supporting Forth’s Finance & Operations division by coordinating contracts, insurance, registrations, and related administrative and finance-support processes. This role helps ensure that core organizational systems and requirements are well-organized, up to date, and consistently followed. Based in the Portland area, the Senior Operations Associate serves as a trusted, on-the-ground operational resource, working closely with staff, leadership, and external partners to support Forth’s mission and our people. We seek candidates who are enthusiastic about electric mobility, comfortable working with diverse consumers and organizational partners, and who share our commitment to racial diversity, equity and inclusion. The successful candidate will be expected to wear many hats, work independently and collaboratively, and play an active role in the organization’s development. Assignments may evolve over time based on organizational needs and staff development. Requirements

  • A passion for Forth’s mission and values and a desire to deepen your understanding of diversity, equity, and inclusion
  • Two years of experience in project coordination or operational support, preferably within nonprofit operations, administration, compliance support or related field
  • High school diploma or equivalent
  • Strong project coordination, time management, and organizational skills
  • Excellent interpersonal and cross-cultural communication skills, both written and verbal
  • Collaborative, team player approach
  • Basic research and critical thinking skills - ability to gather, analyze, and interpret information from various sources to inform decision-making, solve problems, and stay updated on industry trends
  • Willingness and ability to travel nationally, occasionally overnight, up to two times per year
  • Located in or willing to relocate to Portland, OR before starting
  • Able to maintain a safe home office environment

  • A valid drivers license and clean driving record may be required depending on the specific responsibilities of the role, including but not limited to travel, site visits, or other business-related driving

Responsibilities

  • Coordinate the preparation, tracking, and organization of contracts, agreements, and MOUs
  • Support contract execution by coordinating reviews, signatures, and required documentation
  • Maintain centralized, up-to-date records for contracts, insurance policies, registrations, and compliance filings
  • Track key dates (renewals, expirations, reporting deadlines) and ensure timely follow-through
  • Coordinate Forth’s insurance coverage in partnership with brokers and carriers, including renewals and Certificates of Insurance (COIs)
  • Track and support required organizational registrations and filings (e.g., federal and state registrations, business licenses)
  • Organize documentation and confirmations to support audits, Board review, and external reporting
  • Support adherence to internal policies and basic nonprofit compliance requirements
  • Coordinate administrative and compliance-related work across operations, programs, and leadership
  • Manage specific tasks and timelines within project work plans to support completion of deliverables and required reporting
  • Support light day-to-day finance coordination, such as: check printing and mailing, banking coordination and recordkeeping, documentation support for expenses and reimbursements
  • Provide occasional administrative support to senior leadership, as needed
  • Support Board and committee administrative needs, including document organization and follow-through on Board-related requirements
  • Help document and maintain clear procedures for recurring operational and administrative tasks
  • Identify opportunities to improve administrative workflows and tracking systems
  • Provide general operational support in a small-team, collaborative environment
  • Occasionally support outreach, fundraising, or community events as part of Forth’s all-hands approach
  • Provide light logistical support during events when additional capacity is needed
  • Represent Forth professionally and collaboratively at community-facing events
  • Other responsibilities as required.
