What this job involves The Senior Occupancy Planner supports workplace strategies on a variety of projects and assignments as part of a planning team that solves occupancy and space issues within workplace program guidelines and metrics. This role involves interacting with the client's internal Corporate Real Estate team and Line of Business partners while working as part of a diverse, integrated team delivering modern workplace solutions including space and occupancy planning, move management, and project management. The successful candidate will build relationships with end user customers to understand their business needs, promote workplace solutions, and resolve workplace issues while serving as the point person for questions about workplace programs, space and occupancy, allocations, and utilization for assigned buildings or business units. This position requires working independently, managing time effectively to meet deadlines, and partnering with move coordination teams to plan strategic migration schedules and tactical moves across existing properties, new properties, and properties targeted for right-sizing or decommissioning.

Requirements

  • Bachelor's degree required
  • 4 or more years of work experience in occupancy or space planning for corporate clients, or interior office planning, office renovations, furniture planning/management, move/project management, or related Facilities function in a corporate real estate setting
  • Working knowledge of occupancy utilization, workplace strategy, office design principles, and trends such as mobile or collaborative workplace environments
  • Literacy in reading and interpreting floor plans with ability to develop stacking plans, block plans, and allocation plans
  • Advanced skills in Microsoft Excel (pivot tables, V-lookup, charts, formulas) and Microsoft PowerPoint (graphics, layouts, story-telling)
  • Excellent written and verbal communication skills with ability to understand complex ideas and communicate them effectively to others
  • Strong organizational skills to manage client information and project details with responsiveness and initiative to ensure project commitments are met on time

Nice To Haves

  • Proficiency in CAFM/IWMS database systems (FMS, Manhattan, Tririga, Archibus, or similar platforms)
  • Proficiency in graphic tools (Adobe, SketchUp, AutoCAD, or similar software)
  • Great relationship building skills with a client experience focus
  • Change management experience
  • Experience with business intelligence dashboards for workplace analytics and reporting
  • Background in scenario planning, modern workplace design, densification projects, or restacking initiatives
  • Familiarity with regulatory compliance requirements related to space planning and occupancy management

Responsibilities

  • Building relationships with end user customers to understand business needs, promote workplace solutions and concepts, and resolve workplace issues while serving as point person for questions about workplace programs, space allocations, and utilization
  • Managing space requests and move work orders to ensure timely completion and regulatory compliance while proactively developing space solutions including stacking plans, block plans, allocation plans, and adjacency diagrams
  • Effectively gathering customer workplace requirements through asking the right questions and active listening to understand underlying business needs, providing options for client decision making through creative and analytical thinking
  • Developing block plans to convey future use of space and layouts using graphic tools such as AutoCAD, participating in business case development for real estate actions considering business requirements, client programs, time constraints, and projected space demand
  • Reporting on workplace utilization, building data, organizational data, and occupancy metrics at campus, metro, or regional levels using business intelligence dashboards, CAFM/IWMS, and MS Excel
  • Managing allocations and data accuracy using CAFM/IWMS databases while ensuring all seat assignments comply with adjacency requirements and delivering timely resolution of non-compliant assignments
  • Performing physical space audits and walkthroughs as required to ensure success of relocation projects while collaborating with move coordination teams on strategic migration schedules and tactical moves
