This individual will manage leadership operations, corporate documentation, and vendor processes, while driving core business operations and supporting commercial readiness in a small, fast-paced rare disease organization. The role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a dynamic environment. The ideal candidate is resourceful, proactive, and thrives in a fast pace, highly collaborative, build-oriented setting. This role reports directly to the President North America.

Requirements

  • Bachelor’s degree required; advanced degree or formal project management training a plus.
  • Approximately 7+ years of experience in executive support, business operations, or commercial operations in pharmaceutical/biotech.
  • Demonstrated experience supporting senior leaders and managing complex, multi-stakeholder projects or processes.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills, with the ability to synthesize information into clear, concise materials.
  • High integrity, discretion with confidential information, and a collaborative, “roll up your sleeves” mindset.

Nice To Haves

  • Experience with CMLR processes and systems and familiarity with commercial operations (specialty or rare disease) strongly preferred.

Responsibilities

  • Coordinate itineraries and logistics for internal and external events for the President and Leadership Team.
  • Prepare, edit, and format presentations, reports, and executive communications.
  • Organize leadership meetings, including agenda development,materials preparation, and minutes tracking.
  • Develop briefing materials and summaries to support internal and external engagements.
  • Track and support completion of compliance trainings and key administrative requirements.
  • Maintain organized systems for U.S. documents, contracts, and records.
  • Own and maintain Teams/SharePoint documentation to ensure materials are current, clearly organized, and accessible to the appropriate stakeholders.
  • Manage document access and permissions to ensure the right individuals have appropriate visibility and control.
  • Support vendor onboarding and contracting, including routing agreements and managing execution (e.g., DocuSign).
  • Partner with HR, IT, and functional leaders to support onboarding of new employees.
  • Support and oversee planning and logistics for company events, including town halls, leadership offsites, launch meetings, and conferences.
  • Partner with cross-functional teams to coordinate congress and conference planning, including timelines, budgets, and vendor management.
  • Facilitate coordination between field and home office teams, including roster updates, territory alignment inputs, and operational needs.
  • Establish and maintain core operational processes, tools, and templates (e.g., planning calendars, dashboards, operating cadence).
  • Compile inputs from cross-functional teams to produce monthly business reports and leadership updates.
  • Provide coordination and documentation support for cross-functional initiatives (e.g., licensing, compliance, and business registrations).
  • Support alignment and execution of key operational priorities across marketing, medical, and market access functions.
  • Oversee operations of hybrid office, ensuring an efficient and functional environment for in-office and remote employees.
  • Coordinate vendors, office services, and facilities support as needed.
  • Manage office budgets, purchasing, and expenses.
  • Support internal meetings, offsites, and employee engagement initiatives.
  • Maintain and communicate office policies and health & safety practices.
  • Manage the operational workflow of the CMLR (Commercial, Medical, Legal, Regulatory) review process to ensure compliant and efficient material approval.
  • Coordinate routing, tracking, and approval of promotional and non-promotional materials.
  • Maintain MLR documentation, trackers, and SOPs, including approved-for-use materials.
  • Partner with marketing, market access, medica and compliance teams to improve CMLR processes, timelines, and tools.
