About The Position

The Senior Manager, AI Program Management leads the planning, execution, and operational management of Aspen One’s enterprise AI capability. This role is responsible for building the program from the ground up which includes standing up the intake and prioritization process, managing a portfolio of AI projects, driving cross-functional adoption, and ensuring that AI investments translate into measurable business value. The Senior Manager serves as the connective tissue between technology teams, business leaders, and executive stakeholders, translating AI capabilities into practical solutions that improve operations, reduce costs, and enhance the guest experience. The Senior Manager partners closely with Digital Leadership, IT Systems, Engineering, and business stakeholders to deliver AI-powered solutions while simultaneously building the frameworks, processes, and community that will scale AI adoption across Aspen One. This position reports to the Senior Director, Head of AI. The salary range for this position is $118,000 - $165,500. Actual pay will be dependent on budget and experience; all our salaried roles are eligible for bonus. Job Posting Deadline: Applications for this position will be accepted until April 10, 2026.

Requirements

  • Bachelor’s degree or equivalent experience in Business, Technology, Information Systems, Data Science, or a related field
  • Seven or more years of experience in program management, project management, technology operations, or a related field, with a track record of managing cross-functional initiatives from inception through delivery
  • Three or more years of experience working directly with AI, machine learning, automation, or emerging technology initiatives including either leading projects, managing teams, or serving as a key contributor in an environment where AI was being applied to business problems
  • Experience managing budgets, vendor relationships, and external contractors
  • Knowledge, Skills & Abilities
  • Strong working knowledge of AI concepts, tools, and platforms including large language models, AI agents, automation workflows, and low-code/no-code AI tools (e.g., Microsoft Copilot Studio, ChatGPT, Claude) with a genuine curiosity to stay current as the technology evolves rapidly
  • Proficient knowledge in politically complex or matrixed organizations where influence, relationship-building, and communication skills are critical to success
  • Proven ability to manage multiple complex projects simultaneously, balancing strategic priorities with tactical execution in a fast-paced, resource-constrained environment
  • Exceptional communication skills and the ability to translate technical AI concepts into business language, present confidently to senior leadership, and adapt messaging for audiences ranging from front-line teams to C-level executives
  • Strong problem-solving mindset with the ability to independently identify issues, evaluate options, and recommend practical solutions
  • Ability to build trusted, lasting relationships across functions and levels of seniority, earning credibility through reliability, transparency, and follow-through
  • Familiarity with Microsoft 365, Azure, and enterprise technology environments preferred
  • Ability to work effectively in a hybrid environment with a mix of in-person and remote collaboration
  • Working knowledge of data privacy principles and enterprise data classification standards, with an understanding of how these apply to AI model inputs, training data, and outputs.
  • Ability to contribute to the AI program’s strategic direction, helping shape the roadmap, phasing plan, and investment priorities based on project learnings and organizational readiness
  • Ability to support the development and enforcement of AI governance policies, including guidelines for sanctioned tools, data usage, model selection, and agent/workflow approvals
  • Ability to support and maintain the program’s value realization framework which connects business-owned project outcomes to hard and soft savings, working with Finance to integrate AI value into budget and LE processes
  • Ability to monitor the evolving AI landscape (tools, platforms, vendor offerings) and bring informed recommendations to leadership on opportunities to improve program capabilities

  • One year of people leadership or team leadership experience preferred but not required. This role will initially manage contractors, partner with supporting teams, and support the AI community.

Responsibilities

  • AI Program & Project Management
  • Own and manage the AI project portfolio from intake through delivery, including scoping, prioritization, resource planning, risk management, and value tracking across a pipeline of concurrent initiatives
  • Build and maintain the program’s operational infrastructure: intake processes, prioritization frameworks, project tracking, status reporting, and decision documentation
  • Manage project budgets and timelines, ensuring AI investments are tracked against measurable outcomes and connected to the broader financial planning process
  • Partner with Engineering and IT Systems team to ensure solutions move from concept through development and into production with appropriate governance, testing, and change management
  • Facilitate regular project reviews and steering committee updates, providing clear, executive-ready communication on progress, risks, and decisions needed
  • Cross-Functional Relationship Management & Stakeholder Engagement
  • Serve as the primary point of contact for business teams engaging with the AI program, building trusted relationships with leaders across Digital, IT, Marketing, Finance, HR, and business unit operations
  • Navigate a complex stakeholder environment with multiple senior leaders, balancing competing priorities and organizational dynamics with professionalism and political awareness and build credibility as a strategic partner
  • Lead requirements gathering and discovery sessions with business teams, translating operational pain points and opportunities into well-scoped AI project briefs
  • Manage expectations proactively to communicate what AI can and cannot do in practical terms, set realistic timelines, and ensure business teams remain engaged and accountable throughout delivery
  • Partner with Cybersecurity to conduct appropriate due diligence on AI vendors and platforms, including data handling practices, contractual protections, and ongoing risk monitoring.
  • Change Management & AI Adoption
  • Facilitate the change management approach for AI adoption, including communication plans, training programs, and organizational readiness activities
  • Own and grow the AI Community of Practice. Facilitate regular sessions, surface employee-led ideas, celebrate early adopters, and build a culture of experimentation and learning
  • Develop and deliver AI awareness and enablement programming, including office hours, workshops, use-case showcases, and tailored coaching for teams exploring AI tools
  • Partner with HR and business leaders to define AI-related competency expectations and integrate AI fluency into role development over time
  • Track and report on adoption metrics, gathering qualitative and quantitative feedback to continuously improve the enablement approach
  • Strategy, Governance & Value Realization
  • Ensure all AI tools, platforms, and third-party solutions are reviewed through established cybersecurity and procurement processes before adoption or piloting
