The Department of Consumer and Business Services (DCBS) is a progressive business regulatory state agency dedicated to the mission of protecting and serving Oregon's consumers and workers while supporting a positive business climate. The department administers state laws and rules governing workers' compensation, occupational safety and health, financial institutions, insurance companies and building codes. The department has consumer protection and education programs, offices, and ombuds to help consumers, injured workers, and businesses. This position is with the Building Codes Division (BCD). BCD adopts and enforces the statewide building code relating to the construction, reconstruction, alteration and repair of buildings and other structures and the installation of mechanical, plumbing, and electrical devices and equipment. This is an executive service position and is not represented by a union. However, regular, scheduled office hours are also required. Here’s what you will do: As the Senior Executive Services Coordinator, you will coordinate and provide executive assistance, administrative and technical support to the Administrator and Deputy Administrator of the Building Codes Division.

Requirements

  • Four years of staff-level experience providing administrative support to management. The experience must include technical or analytical duties in the management of program goals and objectives; performing program or project planning; preparing, monitoring, or controlling budgets; or performing research and providing analytical information and/or recommendations used in management decision making.
  • A bachelor's degree in Business Administration, Management, Public Administration or a closely-related field may be substituted for up to two years of the required experience.

  • Experience in developing positive and respectful working relationships with agency staff, and diverse stakeholders, including but not limited to: board members, legislative staff, lobbyists, and Governor’s office staff
  • Experience providing support to executive level management
  • Knowledge of and experience with the legislative process
  • Experience establishing effective processes and communication procedures to meet objectives and deadlines
  • Experience in reviewing, analyzing and developing policies
  • Experience providing oversight and reporting on software and other projects
  • Experience providing effective direction to peer groups

Responsibilities

  • Coordinating with the Division Administrator and Deputy Administrator in the administration of division operational matters
  • Serving as a member of the division’s management team and participating in policy planning, review, development, implementation; and project management
  • Assisting the Administrator and Deputy Administrator in the administration and coordination of communications internally and externally
  • Explaining (verbally or in writing) laws, rules, policies, and procedures to division staff and stakeholders
  • Acting as backup Agency Records Officer in responding to public records requests
  • Representing the Administrator and Deputy Administrator to state agencies, the Governor’s Office the legislature, the public, special interest groups and various committees
