The Senior Executive Assistant serves as a trusted strategic partner to the Inspire Company Restaurants President, providing comprehensive administrative, operational, and project support. This role is responsible for maximizing the President’s time, aligning priorities, and ensuring seamless communication with internal and external stakeholders. Key responsibilities include managing complex calendars, coordinating travel and expenses, preparing meeting materials, and executing high-impact meetings and events. The ideal candidate is highly organized, detail-oriented, and proactive, with strong technical proficiency, exceptional communication skills, and a high degree of discretion. Requirements

  • Minimum: 5+yrs experience in an administrative role
  • Experience supporting multiple individuals, calendars and reports
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word) and virtual collaboration tools (Zoom, Microsoft Teams, WebEx)
  • Experience with calendar and travel management tools (e.g., Outlook, Concur)
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities simultaneously
  • Excellent verbal and written communication skills
  • Demonstrated ability to maintain confidentiality and professionalism in all interactions
  • Self-starter with the ability to manage tasks independently

Responsibilities

  • Executive & Administrative Support Manage complex calendars for the ICR President and multiple leaders, including scheduling internal and external meetings across time zones.
  • Coordinate domestic and international travel arrangements (including aircraft travel), ensuring compliance with travel policies.
  • Prepare and submit expense reports accurately and on time using Concur (or similar platform).
  • Draft and manage internal and external communications for the ICR President, handling sensitive information with discretion and confidentiality.
  • Meeting & Event Coordination Plan and execute meetings ranging from small team sessions to large-scale, cross-functional events and offsites.
  • Manage logistics such as agenda development, scheduling, venue coordination, catering, and communications.
  • Prepare and distribute meeting materials, agendas, and pre-reads; ensure presentation readiness and provide technical support (Zoom, Microsoft Teams, A/V setup).
  • Take meeting notes, track follow-ups, and ensure accountability and execution.
  • Adapt to schedule changes and manage attendee communications accordingly.
  • Office & Operational Management Maintain office equipment and supplies; oversee updates to business cards and stationery.
  • Process and track vendor invoices; maintain department budget tracking and collaborate with Finance and Procurement teams.
  • Manage jet tracking for Finance and Tax Auditing purposes.
  • Maintain shared drives and document repositories to ensure content is current and accessible.
  • Strategic & Project Support Conduct research, prepare briefing documents, and summarize insights to support ICR strategic initiatives.
  • Track and report on key projects and priorities to ensure alignment with ICR goals.
  • Team Engagement & Culture Coordinate department-wide activities, celebrations, and offsites to foster team morale and cohesion.
  • Support internal communications and drive participation in culture-building initiatives.
