About The Position

The Senior Executive Assistant directly supports USCC COO C16 level managers and generally supports the entire function. This role involves managing complex, dynamic calendars across multiple time zones, ensuring prioritization and alignment with business objectives. The assistant serves as a key liaison between executives and internal/external stakeholders, demonstrating professionalism and sound judgment. Responsibilities include anticipating executive needs, coordinating all aspects of executive-level meetings (appointments, leadership forums, town halls, receptions, conference calls), and preparing, reviewing, and editing meeting materials, correspondence, agendas, presentations, and briefing documents with a high degree of accuracy and confidentiality. The position also supports the creation and quality control of various executive-level deliverables, coordinates complex domestic and international travel arrangements, and manages expense reports through the Travel and Entertainment Expense (T&E) system. Further duties include processing invoices and ordering supplies via the Procure-to-Pay (P2P) system, submitting and tracking Virtual Requests, and supporting ad-hoc reports, departmental initiatives, and special projects. The role also involves training and mentoring other administrative professionals, assessing risk in business decisions, safeguarding the firm’s reputation, and ensuring strict adherence to Citi policies, procedures, and regulatory requirements while maintaining confidentiality.

Requirements

  • Significant experience providing senior-level administrative support, preferably within a large, complex financial services organization or similarly regulated environment.
  • Proven experience supporting C-suite or Managing Director–level leaders with competing priorities.
  • Highly proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
  • Demonstrated ability to quickly learn and adapt to new systems and processes.
  • Exceptional organizational, time-management, and problem-solving skills.
  • Consistently demonstrates clear, concise, and professional written and verbal communication.
  • High level of discretion, integrity, judgment, and attention to detail.
  • Demonstrated ability to build strong working relationships, collaborate effectively across all levels, navigate complex dynamics, and maintain professionalism at all times.
  • Ability to work independently, prioritize effectively, and remain composed under pressure.
  • Bachelor’s degree or equivalent combination of education and relevant experience.

  • Coordinates all aspects of executive-level meetings, including appointments, leadership forums, town halls, receptions, and conference calls.
  • Prepares, reviews, and edits meeting materials, correspondence, agendas, presentations, and briefing documents with a high degree of accuracy and confidentiality.
  • Supports the creation, modification, and quality control of presentations, spreadsheets, reports, and other executive-level deliverables.
  • Coordinates complex domestic and international travel arrangements, including itineraries, agendas, accommodations, and supporting documentation.
  • Prepares, reconciles, and tracks expense reports through the Travel and Entertainment Expense (T&E) system, ensuring accuracy and policy compliance.
  • Provides executive travel support, including real-time adjustments as needed.
  • Processes invoices and orders supplies through the Procure-to-Pay (P2P) system.
  • Submits, tracks, and follows up on Virtual Requests and other operational workflows.
  • Supports ad-hoc reports, departmental initiatives, and special projects, often involving senior leadership visibility.
  • Trains, mentors, and guides other administrative professionals as required, contributing to team development and best practices.
  • Appropriately assesses risk when making business decisions, safeguarding the firm’s reputation, clients, and assets.
  • Ensures strict adherence to Citi policies, procedures, and regulatory requirements, applying strong ethical judgment and escalating issues transparently when necessary.
  • Demonstrates sound understanding of governance, controls, and confidentiality inherent in supporting senior leadership.
