About The Position

The Senior Document Processing Associate is responsible for overseeing daily data processing tasks, managing team performance, and ensuring the accuracy and timely completion of data processing for various departments. This position involves working closely with internal teams and offshore resources to ensure data is processed according to customer requirements. The Senior Document Processing Associate will also be responsible for managing and supporting the data entry staff, overseeing workflows, and ensuring the highest standards of quality are met. The role combines operational leadership with hands-on data processing tasks.

Requirements

  • High School diploma or equivalent required.
  • 4 to 6 years of experience in data processing, document scanning, or a similar field.
  • 4 to 6 years of experience in supervising or managing data entry teams is preferred.
  • Some college coursework or equivalent professional experience in a related field is a plus.
  • Proficiency in Microsoft Office, especially Excel, for inventory tracking and data management.
  • Strong understanding of county records and legal documents, including document types and specific title business requirements.
  • Excellent typing skills with the ability to type 60 words per minute or more with minimal errors.
  • Ability to troubleshoot and resolve technical issues with scanning equipment or data systems.
  • Strong organizational skills and the ability to manage multiple tasks and deadlines.
  • Excellent attention to detail and a commitment to maintaining high-quality standards in data entry.
  • Ability to adapt to a fast-paced environment and oversee daily operations while managing a team.
  • Excellent written and verbal communication skills for client and team interactions.
  • Ability to lead and motivate a team, providing direction and ensuring that productivity and quality standards are met.
  • Strong customer service skills, with a focus on providing timely and accurate service to clients.
  • Ability to identify issues in data processing workflows and take corrective action.
  • Ability to adjust to changing client needs and evolving project requirements.
  • Focus on maximizing efficiency while ensuring that all data is processed accurately and on time.

Responsibilities

  • Lead data processing efforts across multiple departments, ensuring efficient and accurate entry of real property records, court documents, and other critical data types.
  • Oversee the performance of the data entry team, including assigning daily tasks, monitoring productivity, and ensuring deadlines are met.
  • Verify the data received from offshore teams and ensure it meets company standards. Perform quality checks to maintain zero-error rates in document processing.
  • Run reports to track data entry progress, address issues, and identify areas for improvement. Provide regular updates to management on the status of data processing tasks.
  • Train new team members and provide guidance to junior staff in best practices for data processing and maintaining accuracy.
  • Act as the point of contact for clients, ensuring that their data processing needs are met in a timely and efficient manner. Collaborate with customers to resolve issues or clarify data requirements.
  • Manage the movement of data to offshore teams for preliminary entry and verify the returned data to ensure accuracy before final submission. Oversee the input of data into various systems, including Title and Probate Court data.
  • Create and maintain records of customer documents, tracking inventory for audit and compliance purposes.
  • Troubleshoot technical issues related to data processing and scanning equipment. Resolve issues as needed and ensure equipment is set up and functioning correctly.
  • Continuously assess existing workflows and processes to identify areas for efficiency improvements and implement changes as necessary.
  • Perform other duties as assigned.
