About The Position

We are seeking a motivated and organized Senior Administrative Program Coordinator to support a multi-year fellowship program aimed at supporting educational leaders, alumni fellows, and partner school districts. This role involves managing the fellowship lifecycle, developing learning resources, coordinating events and virtual conferences, and supporting recruitment and stakeholder engagement. This position is currently funded for one year from start date and may be renewed based upon availability of funding, work performance, and progress toward research goals. The Senior Administrative Program Coordinator will work closely with program directors and principal investigators to ensure high-quality delivery of all program components.

Requirements

  • Bachelor's degree in education, public administration, communications, social sciences, or related field.
  • At least 5 years experience in program coordination, event planning, team leadership, and stakeholder management.
  • Strong written and verbal communication skills, collaboration skills, and ability to work independently and manage multiple priorities.
  • Proficiency with tools such as Zoom, Google Workspace / Microsoft Office, and other common productivity or design tools (e.g., Canva).
  • Relevant education and experience may be substituted as appropriate.

Nice To Haves

  • Master’s degree in relevant field of study with at least seven years of administrative or program coordination experience.
  • Experience with K–12 school districts, teacher development programs, or grant-funded educational initiatives.
  • Experience designing adult-learning or professional-learning content, facilitating professional learning institutes, or coordinating multi-day trainings/conferences.
  • Experience administering an LMS, developing evaluation surveys, and maintaining dashboards or reporting tools.
  • Experience in recruitment, marketing, or outreach to educational stakeholders.
  • Experience as a secondary math teacher or administrator

Responsibilities

  • Manage ongoing communication with fellowship members and partner districts leads to facilitate milestones and maintain participant engagement.
  • Content & Resource Development - Curate and maintain fellowship assets, including managing a learning management system, creating presentations, activities, surveys, and dashboards in collaboration with program directors and principal investigators.
  • Event Planning & Stakeholder Engagement– Collaborate with program directors to plan and facilitate annual virtual and in-person events with alumni fellows, school leaders, and external stakeholders to showcase fellowship impact.
  • Virtual Conference Coordination - Organize and lead virtual conferences and protocols, training and supervising staff facilitators to ensure high-quality delivery.
  • Professional Learning Institutes– Collaborate with the program director to design and execute seasonal professional learning institutes.
  • Recruitment & Marketing– Collaborate with the program director on recruitment and marketing efforts to attract new fellowship members; maintain relationships with district leaders.
