We are seeking a Program Administrative Coordinator to provide critical administrative and operational support to a fast-paced technical organization. This role focuses on processing paperwork, submitting and tracking access requests, maintaining certification records, and ensuring administrative requirements are completed accurately and on time. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple administrative workflows while coordinating with internal teams and external stakeholders.

Requirements

  • Associate’s degree or equivalent
  • 2+ years of experience in an administrative, operations, or program support role
  • Strong organizational and time-management skills
  • High attention to detail and accuracy
  • Proficiency with Microsoft Office or Google Workspace (Excel/Sheets, Word/Docs, email)
  • Ability to manage multiple tasks and deadlines simultaneously
  • Strong written and verbal communication skills
  • Ability to handle sensitive information with discretion

Nice To Haves

  • Experience supporting technical, government, or regulated programs
  • Experience tracking certifications, training, or compliance requirements
  • Familiarity with access request systems, ticketing tools, or internal portals
  • Experience maintaining spreadsheets or trackers for status and reporting
  • Comfortable working in a process-driven environment
  • Ability to work independently with minimal supervision
  • Active DOD Secret Clearance

Responsibilities

  • Process and submit administrative paperwork related to program operations
  • Prepare, submit, and track system, facility, and tool access requests
  • Maintain and track employee certifications, training records, and compliance documentation
  • Monitor expiration dates and notify stakeholders of upcoming renewals or required actions
  • Track status of administrative requests and follow up to ensure timely completion
  • Maintain accurate records, spreadsheets, and documentation repositories
  • Coordinate with internal teams to gather required information and signatures
  • Support onboarding and offboarding administrative activities
  • Assist with preparation of reports, trackers, and status updates
  • Ensure documentation complies with organizational policies and requirements
  • Respond to administrative inquiries and provide status updates
  • Perform other administrative duties as assigned
