About The Position

We are seeking an experienced, highly organized professional to manage the Office of the Hospitality President and ensure smooth, effective operations in a fast‑paced, high‑touch environment. This role plays a key part in curating and delivering high‑impact project management and communications in partnership with teams across both Hospitality and Kohler Co. The ideal candidate is technically skilled, highly motivated, and detail‑oriented, with a natural ability to communicate clearly and graciously. We’re looking for someone who is passionate about creating meaningful associate experiences that foster inclusion, belonging, and strong cross‑team connections.

Requirements

  • High School diploma and eight years experience in related office setting required (three years of Kohler Co. experience preferred).
  • Ability to prepare ACT’s, managing basic budget items, and coordinating projects.
  • Strong written, verbal, and coordination skills.
  • Ability to multi-task, organize, prioritize, and manage diverse workload.
  • Proficient in Microsoft Word and Excel products, with and common understanding of Power Point, required.
  • Applicants must be authorized to work in the US without requiring sponsorship now or in the future.

Responsibilities

  • Foundational executive administrative support to President - Hospitality, by demonstrating a high level of professionalism and sound judgement.
  • Plans and coordinates project scheduling, able to create robust project tracker to assure President has easy access to team’s initiatives, status, and delivery dates.
  • Communicates professionally and succinctly with various leaders to ensure project(s) remain on schedule, relaying any issues with timeline, budget, or delivery.
  • Must be digital-first and in collaboration with the Hospitality Leadership team, understand reporting requirements and assure reports and analytics are received on a timely basis; may provide basic insights or summaries of data, as needed.
  • Supports communication plans for requested projects to update all stakeholders and maintain a close and supportive working relationship with representatives of the various initiative owners.
  • Actively supports the vision and guiding principles.
  • Other projects and duties as prioritized.
  • Maintain the schedule of the Hospitality President.
  • Ensure monthly 1-on-1 updates with direct reports to the Hospitality President are scheduled and executed.
  • Organize and coordinate domestic and international travel as needed for the Hospitality President, inclusive of expense report filing, and for others are requested.
  • With the Executive Office, ensure updates with David Kohler are coordinated and support materials provided.
  • Draft communications as requested on behalf of the Hospitality President. Serve as a conduit in providing information, in its appropriate format and within stated timeframes, to Kohler’s executive office.
  • Screen messages, facilitate calls, and delegate correspondence not requiring the Presidents attention to appropriate areas in the organization.
  • Manage the flow of ACT approvals, pending action, follow up, final distribution, and communication of approved Capital and Personnel ACTs for Hospitality as dictated by corporate guidelines.
  • Coordinate efficient and timely communication of notices from local municipalities concerning upcoming meetings including topics of interest or concerning Kohler Hospitality.
  • Assist, as needed, providing clerical support to direct reports to the Hospitality President lacking administrative support.
  • Produce notices and postings for all Hospitality associates as warranted.
  • Assist the Hospitality President in the scheduling, coordination, agenda creation/distribution, and minutes creation/distribution of key meetings.
  • Organize four annual Town Hall communication meetings for Hospitality associates.
  • Lead the planning process for annual communication/recognition events.
  • Process and oversee presentation/mailing on retirement of associates for the Hospitality team including senior level farewell receptions on retirement. Ensure Chairman is aware of and included in such events as appropriate.
  • Files: Maintain current personnel files for all direct reports to the Hospitality President including mater vacation and out of office scheduling. Assistand guide management in review of quintile ratings, merit reviews, and CM documents, ensuringtimeframesestablishedare adhered to.
  • Licensing: Coordinateannual Hospitality licensing which includes, but is not limited to, liquor, local and state government, food manager and food safety offerings, and state food processing.
  • Dues and Membership: Reviewannual Dues and Memberships,compileand present final report to key stakeholders.
  • Donations: Administerthe Hospitality donations SOP for solicitation requests from organizations outside of Sheboygan County, execute special donation requests asappropriate withCorporate Giving, and reconcile charge backs on redemption of issued certificates.
  • Project Teams: Serve on project teams as the President sees fit.
  • Corporate Cards: CoordinateHospitality Card, Corporate VISA and P-Cards and reports for multiple personnel based on need.
  • SOP: Maintainand create Hospitality Standard Operating Procedures. Responsible for review, coordination, and standardization of SOPs across all Kohler Hospitality businesses to drive standard best practices.
  • Order coffee for morning meetings and make lunch arrangements for meetings over lunch time
  • Attend meetings to take meeting notes
