About The Position

As the Senior Administrative Assistant, you will provide project management and administrative support to the Senior Vice President, Clinical Operations, the Senior Vice President, Regulatory Affairs & Quality Assurance, and the Senior Vice President, CMC with general support to VPs on their teams. This role requires a very high level of administrative skill and technical expertise. Strong oral and written communication skills, flexibility, adaptability, collaboration, and the ability to manage multiple tasks of equal/varying priorities is essential. Responsibilities will include but not be limited to coordinating and managing key projects, booking and managing domestic and international travel, expense reporting, organizing meetings and administrative support for critical regulatory activities. This role will be based out of our Boston office and will be required to be on-site 4 days per week.

Requirements

  • Bachelor’s degree highly preferred, and/or equivalent senior administrative experience supporting SVP and VP-level executives
  • Advanced proficiency in relevant software including MS Office Teams, Zoom, Concur, Excel, PowerPoint, PO processing and an aptitude to both learn and utilize technology
  • Excellent oral and written communication skills required
  • 5+ year experience supporting Senior Management/Senior Vice President and Leadership Team Members required
  • Demonstrated experience managing projects and multi-tasking in a fast-paced work environment with changing priorities
  • Proven team player who enjoys working in a team environment and has an innate ability to collaborate and partner with others to ensure business goals are met in a timely manner

  • Understanding of scientific terminology used in biotech R&D preferred
  • Experience working in the biotech/pharmaceutical industry preferred
  • Experience supporting R&D teams in a clinical development setting preferred

Responsibilities

  • Direct support to the SVP, Clinical Operations, SVP, Regulatory Affairs & Quality and the SVP, CMC to include calendar management, meeting coordination, travel arrangements, and expense reporting
  • Report to SVP, Clinical Operations and works in conjunction with the extended EA team
  • Draft agendas, attend and take meeting minutes, ensure documentation of discussions and decisions, and accountability for follow up action items
  • Coordinate activities such as meetings, conferences, trainings, catering, and group dining
  • Office management responsibilities include ordering and keeping track of office supplies, managing office vendors and liaising with property management team to optimize office operations
  • Coordinate with IT department on all office related equipment
  • Liaise with vendors and submission of documents revolving around contracts, agreements, invoices, etc.
  • Support with interview scheduling and onsite visit coordination
  • Facilitate new hire onboarding (Introduction to team, initial meetings, work with manager to customize appropriate meetings/tasks to be assigned to new hires)
  • Provide administrative back-up coverage as needed (e.g. vacations, sick time, major projects)
