About The Position

The Senior Administrative Assistant serves as the operational and administrative cornerstone of the Department of Agriculture. This position provides advanced administrative, budgetary, and communications support to faculty, staff, students, and external stakeholders. The successful candidate will demonstrate strong organizational skills, independent judgment, attention to detail, and the ability to manage multiple priorities in a dynamic academic environment. This role oversees daily office operations, supports departmental financial processes, supervises student employees, assists with recruitment and outreach initiatives, and serves as the primary point of contact for the department. Priority Deadline: March 4, 2026. Review of applications will begin immediately following the priority deadline and continue until the position is filled.

  • Experience with enterprise systems (e.g., Workday or similar ERP systems)
  • Evidence of effective supervision and/or mentoring of student employees
  • Experience managing social media platforms and updating webpages
  • Proficiency with Microsoft Office Suite (Excel, Outlook, Word, PowerPoint)
  • Strong written and verbal communication skills

Responsibilities

  • Office & Operations Management
  • Oversee daily office operations, including walk-in, phone, and email communications
  • Serve as primary point of contact for the department
  • Maintain organized digital and physical record systems
  • Ensure compliance with university and state policies and procedures
  • Budget & Financial Coordination
  • Maintain and monitor departmental budget spreadsheets and accounts
  • Reconcile monthly financial reports
  • Assist with budget tracking, reporting, and documentation
  • Process travel requests, purchasing transactions, and reimbursement documentation
  • Student & Personnel Support
  • Supervise, schedule, and provide ongoing training for student employees
  • Assist faculty with administrative needs related to teaching, advising, and programming
  • Support student organizations and the rodeo team with travel coordination, scheduling, and event logistics
  • Recruitment & Outreach
  • Schedule department visits for prospective students and families
  • Assist with recruitment events and program promotion
  • Support departmental communications, including website updates and social media management
  • Additional Duties
  • Support departmental events, meetings, and special initiatives
  • Perform additional office management functions as assigned by the Department Chair
