About The Position

The Senior Accountant-AP/AR Specialist is responsible for overseeing and executing the full cycle of AP and AR functions in Viewpoint Spectrum while providing senior‑level review, guidance, and process ownership. This role ensures accuracy in job cost reporting, billing, and cash application, supports month‑end close, and serves as a key accounting resource for project managers, operations, and leadership.

Requirements

  • 5+ years of progressive experience in construction accounting, AP and AR
  • Strong hands‑on experience with Viewpoint Spectrum or similar ERP construction software.
  • Job‑cost accounting experience required
  • Solid understanding of accounting principles and internal controls
  • Advanced Excel skills (lookups, pivots, reconciliations)
  • Proven ability to lead processes and handle complex issues independently

  • Experience supporting audits and financial reviews
  • Familiarity with lien waivers, subcontract compliance, and retainage
  • Experience partnering closely with operations and project management

Responsibilities

  • Process full‑cycle AP in Remarcable and Viewpoint Spectrum, ensuring: Accurate job, phase, and cost type coding Compliance with internal controls and approval workflows Review AP batches and postings prior to final processing
  • Facilitate credit card statement processing utilizing import/export between bank, excel, and Spectrum. Ensure compliance from cardholders with receipt collection through Traqspera software.
  • Manage subcontractor payables, including retainage, compliance, and documentation and paid-when-paid terms.
  • Track backcharges between customer and subcontractors and process accordingly.
  • Oversee sales tax requirements and documentation by job and ensure vendors adhere to required rate on invoices.
  • Prepare weekly electronic disbursement batches.
  • Resolve complex vendor issues, discrepancies, and escalations
  • Oversee customer billing created by PM’s and from a large variety of builder portals and post into Viewpoint Spectrum, including: Progress billing and retainage tracking Time & material and contract‑based invoices
  • Review invoices for accuracy against contract terms, approved billings, and job cost data
  • Regular outreach to Service and Custom Home managers to facilitate timely billings for those departments.
  • Regular monitoring of single-family builder websites for updates on our work status for billing.
  • Send out regular statements, monitor AR aging and lead collection efforts on high‑risk or past‑due accounts
  • Resolve complex billing issues
  • Ensure accurate and timely cash application and retainage reconciliation
  • Ensure AP and AR transactions accurately flow through Spectrum Job Cost
  • Reconcile job cost detail periodically for posting accuracy and completeness related to AP cost, PO’s and Subcontracts. Reconcile job contract and related-AR billings for posting accuracy and completeness.
  • Partner with Project Managers to resolve: Cost coding issues Billing corrections Retainage and close‑out discrepancies
  • Lead AP and AR portions of month‑end and year‑end close
  • Prepare and review AP, AR reconciliations and ensure balance between subledgers to the General Ledger remains intact, and investigate variances
  • Lead 1099 review, reconciliation, and annual filing process
  • Prepare schedules and supporting documentation for audits and management review
  • Ensure consistent application of accounting policies and procedures
  • Act as a power user for Remarcable and Viewpoint Spectrum (AP, AR, and Job Cost Modules).
  • Serve as a subject matter expert for AP/AR and job cost‑related questions
  • Establish and maintain documentation for accounting processes
  • Recommend efficiencies, internal control improvements, and best practices.
  • Partner with Controller on: Process improvements Workflow optimization Reporting enhancements Increasing automation and electronic methods
  • Assist with system testing during upgrades or configuration changes.
