About The Position

MTC operates the Inland Empire Job Corps Center in San Bernardino, CA, providing quality services to local youth. The Secretary III role is responsible for performing a variety of clerical and administrative duties that require extreme discretion, in compliance with government and management directives.

Requirements

  • High school diploma or equivalent
  • Three years related experience
  • Experience with youth
  • Excellent written and verbal communications skills
  • Computer proficiency
  • Valid driver’s license with an acceptable driving record, unless waived by management

Responsibilities

  • Perform a variety of secretarial/clerical duties, including dictation and transcription of correspondence, minutes of meetings, reports and other documents.
  • Receive telephone calls and visitors; tactfully refer them to proper individual if center director is not available.
  • Maintain calendar of events, schedules, and appointments.
  • Coordinate meeting arrangements such as time, place, attendees and matter to be discussed.
  • Maintain correspondence control log, coordinate preparation of special reports; maintain control of reports due in or out of the center.
  • Assist in maintaining central library of required documents, handbooks, directives, and SOPs.
  • Maintain a safe and clean work area that models high standards for a work environment.
  • Act as liaison between center director and center staff, community, corporate office and customers, including Congressional representatives, parents, screening agencies, etc. Use extreme diplomacy and tact and ensure accurate and timely responses to all inquiries.
  • Make recommendation for purchase of equipment/supplies; maintain expense account records, financial reports and confidential files.
  • Maintain tracking system for contractual required approvals, reports, and plans.
  • Participate in Career Development Services System by supporting and promoting the center directorship through excellent customer service and maintaining accurate records.
  • Provide positive, quality customer services to students, staff and other center customers.
  • Support, promote, and enforce the Job Corps’ Zero Tolerance Policy.
  • Participate in student employability programs and activities.
  • Promote the development of Career Success Standards by modeling appropriate behaviors, mentoring students where necessary and monitoring both positive and negative behaviors through interventions.
  • Cultivate and maintain a climate on center which is free of harassment, intimidation and disrespect to provide a safe place for staff and students to work and learn.
  • Maintain accountability of students and property; adhere to safety practices.
  • Perform other duties as assigned within his/her capabilities as determined by management.
