About The Position

Secretarial Assistant – District Attorney Hourly Pay Rate $20.08 - $30.13 Closing Date: April 23, 2026, or upon receipt of the first 50 application submissions received Job Summary: Performs a variety of legal secretarial duties for district attorney teams and units in the criminal division.

Requirements

  • Current Wisconsin resident
  • High School Diploma or GED equivalent
  • Three years of secretarial experience
  • Intermediate knowledge of all related computer and software applications, such as word processing and spreadsheets.
  • Purpose, format and processing procedures of documents
  • English grammar, punctuation, spelling and usage
  • Format and composition of routine correspondence
  • General office clerical practices and procedures
  • Ability to Compose routine correspondence and documents from minimum instructions
  • Ability to Prepare complex documents from specific instructions
  • Ability to Efficiently maintain accurate case files and records
  • Ability to Understand and follow oral and written directions and instructions
  • Ability to Establish and maintain effective working relationships with co-workers, other department personnel and the public
  • Ability to Communicate clearly and concisely orally and in writing

Responsibilities

  • Receive and screen phone calls.
  • Assist with walk-ins, maintain office supplies and operate equipment.
  • Sort, open, log, and distribute incoming mail to attorneys and file.
  • Notify attorneys of upcoming motions and other urgent matters.
  • Enter cases in PROTECT, the District Attorney case management system.
  • Review and analyze police reports to gather the necessary information to make the case entries and to verify accuracy of charges and statutes provided.
  • Compile, review and print criminal records
  • Review and analyze legal documents to ensure proper formatting and meet filing requirements.
  • Generate orders to produce, warrant requests and preliminary hearing notices and related legal documents; proofread and edit legal document.
  • Re-Issue of filed criminal cases referrals in PROTECT, the District Attorney case management system: consolidate multiple criminal case referrals at the discretion of an Assistant District Attorney.
  • Transcribe dictation, including briefs and motions and legal correspondence, jail calls, wiretaps, 9-1-1 calls, criminal complaints, and interviews of defendants and witnesses.
  • Review case entries in PROTECT database and files to ensure proper entry, preparation and disposition; and correct errors to maintain integrity of PROTECT database.
  • Other duties as assigned.
