Requirements

Responsibilities

  • Sales Contract Entry and Shipment Initiation:
  • Assists with entering purchase orders/sales contracts, including customer portal and order receipt management.
  • Creates Loading Authorizations with all required logistics and operations details.
  • Coordinates with inventory coordinator for shipment releases/availability.
  • Obtains delivery releases/appointments from customers.
  • Requests logistics for PADNOS hauled shipments.
  • Enters Yard Transfer contracts/transactions upon request from inventory coordinator.
  • Provides inbound coordination support to Service Specialists as needed.
  • Performs efficient and proactive coordination to ensure all sales are coordinated to completion with on time delivery and prompt service.
  • Management of Financial Sales Functions:
  • Manages Accounts Receivable, which includes processing claims, AR offsets, credits, and adjustments, with the goal of keeping the AR aging past due within the established parameters.
  • Participates in invoice review process.
  • Work with traders, quality manager and customer to resolve quality issues with the proper invoice corrections.
  • Research short payments and investigates reason to perform sales settlements or escalate to trader for approval if needed.
  • Manages accounts receivable aging with the finance team.
  • Monitors credit limits.
  • Completes B2 inventory reconciliation and valuation.
  • Sales Contract Execution:
  • Maintains contracts (volumes and pricing) and works with the analyst team to ensure accurate sales forecasting from contract information.
  • Receive notes from weekly order status/sales meetings and update contract quantities to ensure accurate position.
  • Tracks and reports on KPIs and outcomes (Shipments against sales, days to price, etc.)
  • Completes custom export documentation, proformas, and image submissions.
  • Processes brokerages; linking purchases to sales and arranging freight.
  • Manages offsite inventory levels, coordination and payments.
  • Administrative Support:
  • Attends weekly sales meetings. Provides feedback and insight regarding markets and demand obtained from customer interactions and participates in strategic decision making for order fulfillment.
  • Creates new AR accounts and coordinates onboarding of new customers.
  • Coordinates custom tracking, tolling, and billing functions.
  • Prepares custom sales reports and other customer support.
  • Retrieves customer weights and updates invoices and brokerages as appropriate.
  • Sends samples to accounts on behalf of traders.
  • Utilizes Salesforce to track customer communication and other activities.
  • Assists with the sales documentation (trip notes, opportunity management, etc.).
  • Responsiveness and Accuracy Metrics:
  • Ensures same day contract conversion and loading authorization creation.
  • Responds to cases within two hours of receipt.
  • Schedules Inventory Available loading authorizations within 48 hours (about 2 days).
  • Ensures on-time customer delivery of sales.
  • Sales First Pass Yield.
