About The Position

The Sales Operations Coordinator is responsible for maintaining the integrity, efficiency, and user adoption of the sales CRM and other sales tools. This role supports the STEM and G&E sales teams by providing administrative support, managing sales systems and data, and helping optimize workflows and reporting. The coordinator ensures that the sales team is equipped with clean data, efficient processes, and the operational support needed to focus on selling. Requirements

  • 2+ years of experience in a CRM or Sales Operations support role (HubSpot preferred).
  • High attention to detail, data accuracy, and organizational skills.
  • Strong problem-solving and root-cause analysis mindset.
  • Excellent communication and interpersonal skills.
  • Experience working cross-functionally with Sales, Marketing, and IT.
  • Self-starter who can manage multiple priorities and deadlines.

Responsibilities

  • CRM and Sales Tools Administration Own day-to-day administration of the CRM (HubSpot), including data hygiene, user management, and basic configuration.
  • Perform regular audits to identify and resolve duplicate, inaccurate, or incomplete records.
  • Manage contact/company associations and ensure all deals and pipeline records are accurately tracked.
  • Support CRM workflow development and optimization at the guidance of the Sales Operations Lead.
  • Restore deleted records, monitor activity tracking, and troubleshoot CRM-related issues.
  • Maintain documentation for CRM processes, templates, and standard operating procedures.
  • Reporting and Analytics Support Build and maintain custom dashboards and reports to support sales leadership visibility.
  • Conduct weekly audits of sales performance metrics and CRM activity data (e.g., RingCentral calls).
  • Assist with preparing sales team performance summaries and meeting materials.
  • Sales Team Support Serve as a front-line resource for sales team questions, help tickets, and training needs.
  • Manage help requests promptly and provide hands-on support for system use and troubleshooting.
  • Support document management (uploading menus, pitch decks, templates, etc.) within the CRM.
  • Monitor availability and audit accuracy of sales collateral and field tools.
  • Participate in team meetings, record and distribute meeting notes, and track action items.
  • Project Support and Administrative Functions Assist with cross-functional projects led by the Sales Operations team.
  • Maintain event-related documentation and support coordination of field materials.
  • Balance routine user support with long-term improvements to sales systems and tools.
