About The Position

We are seeking an energetic and detail-oriented Sales Coordinator to join our team! The ideal candidate is a natural collaborator dedicated to providing high-level support for the sales team to expand travel business to all Club Quarters Hotels. You’ll provide administrative sales support to the Global Sales Team and serve as the liaison between clients, sales, revenue, reservations and hotel operations. Requirements

  • Prior hotel experience preferred, including Sales, Catering, Conference Services, and/or Front Desk
  • Strong organizational skills and attention to detail
  • Ability to manage multiple groups and deadlines in a fast-paced environment

Responsibilities

  • Prepare and submit group rate requests to the revenue team
  • Enter group bookings in iVvy, generate group contracts and turnover documentation
  • Act as the primary point of contact for groups and service groups for assigned hotels including:
  • Obtain timely and accurate rooming list from client
  • Confirm proper billing and routing in Opera once group is definite
  • Collect deposits and final payment per contract terms
  • Proactively identify and resolve issues prior to arrival
  • Close groups with zero balance folio
  • Process 3rd party commissions, when applicable
  • Conduct post audit requests as needed
  • Assist with hotel tours in Philadelphia as needed
  • Lead resume meetings for assigned hotels
  • Respond to all inquiries received from HotelPlanner and Engine in timely and professional manner
  • Quote, book and service small rooms only group blocks within defined parameters
  • Maintain accurate and up to date records in Salesforce, iVvy and Cvent
  • Support sales leadership with administrative tasks and reporting as needed
  • Book and service meetings in Philadelphia
