About The Position

The Sales Coordinator keeps the sales engine running. You’ll manage lead intake, maintain CRM accuracy, prepare proposals and contracts, coordinate site visits and small events, and provide day-to-day support so sellers can focus on closing. Detail-obsessed, deadline-driven, and customer-centric—you make the team faster and the client experience smoother.

Requirements

  • 1–3 years of sales support, coordinator, or administrative experience (hospitality/events or B2B environment helpful).
  • Proficient with CRM and productivity tools (e.g., Salesforce/HubSpot/Delphi/Cvent, Microsoft 365/Google Workspace, e-signature platforms).
  • Exceptional organization, time management, and attention to detail; able to juggle multiple deadlines.
  • Strong written and verbal communication; professional, customer-first approach.
  • Solid Excel/Sheets skills (lookups, pivots, formatting) for reports and lists.
  • Comfortable learning new systems and following SOPs; confidentiality and good judgment required.

Responsibilities

  • Lead & Pipeline Support: Triage inbound leads, qualify basics, assign to sellers, and track progress; maintain up-to-date activities, contacts, and opportunities in the CRM.
  • Proposals & Contracts: Draft proposals, presentations, BEOs/banquet orders (if applicable), and contracts from templates; route for approvals and signatures; ensure accurate rates, dates, and terms.
  • Calendar & Coordination: Schedule sales calls, site tours, client meetings, and trade events; prepare agendas, collateral, and follow-up notes.
  • Client Service: Respond to inquiries and RFPs within SLA; assist with rooming lists, group blocks, space holds, and small meeting logistics (as applicable).
  • Reporting & Analytics: Compile weekly/monthly sales reports (pipeline, pace, production, conversion); maintain dashboards and KPI trackers.
  • Systems & Data Hygiene: Keep CRM, booking, and document repositories current (Salesforce/HubSpot/Delphi/Cvent or similar); ensure data accuracy and file organization.
  • Marketing & Collateral: Update sales decks, one-pagers, menus/price sheets; coordinate email campaigns or social posts with Marketing; collect testimonials and case studies.
  • Finance & Compliance: Generate POs/deposits/invoices; track payments and credit applications; process commissions and partner agreements; follow brand, legal, and PCI policies.
  • Vendor & Partner Liaison: Support relationships with third-party channels (e.g., OTAs, Cvent, DMCs); manage listing updates and basic content requests.
  • General Admin: Order supplies, manage swag and welcome amenities, ship materials, and support special projects.
