About The Position

Summary: Serves as the first point of contact for clients and is very critical in delivering and maintaining a high level of customer service. When call volume is low, position will complete office clerical projects as assigned. Responsibilities

  • The Catering Sales Coordinator is responsible for creating unique dining experiences by selling, up-selling and actively participating in the planning and production of catered functions
  • Working closely with clients, as well as with the sales, culinary and operations staff, they are responsible for ensuring that events are coordinated and executed smoothly and in accordance with all client expectations and specifications
  • The Catering Sales Coordinator will focus on the development, implementation and measurement of the revenue objectives contained within the unit's annual marketing plan
  • He or she will direct and manage sales activities to meet revenue objectives and attain the top line financial forecast
  • This includes developing sales with existing business (forecasted group/local business) and executing strategies to develop new business
  • The Catering Sales Coordinator will support the planning of and preparation for events according to anticipated attendance, and will provide hands-on management and oversight in the areas of service and F&B operations during events
  • Performs administrative functions in support of property sales and catering team in an effort to provide timely and accurate service to internal departments and external customers
  • Promptly answer telephone calls and communicate relevant account information to managers and departments
  • Politely and professionally converse with clients and respond to all inquiries
  • Type and process correspondence, proposals, banquet event orders and contracts as directed by management
  • Maintain Lead Log and dispatches lead to correct sales manager who presides over segment
  • Distribute memos, contracts, resumes, room requests, amenities and other communication as it relates to sales and catering to relevant departments
  • Act as a liaison between Sales and Marketing Director, Sales / Catering Managers and other departments to properly communicate information needed for upcoming events including distribution of BEO's, resumes and changes
  • Coordinate as appropriate with other departments to ensure seamless delivery of service and guest satisfaction
  • Run Weekly, Monthly, and Quarterly Reports for Director of Sales and Marketing and reviews for accuracy
  • Maintain filing and retaining necessary copies of contracts and correspondence in accordance with established standards
  • Assist Conference Service Manager with day-of event functions including creating and posting signage, acting as secondary line of support to assist meeting planners and guests, answering basic hotel operational questions, and general support of conference services manager
  • Conducts courtesy site visits (non-sale site visits)
  • E-Files and organize copies of contracts and correspondence ensuring records are up to date
  • Reserve and confirm rooms, meeting space, and banquet space when necessary
  • Occasionally assist with meeting room set up
  • Confers with Conference Services Manager to facilitate in-house functions
  • Answers questions and takes appropriate actions to handle concerns or rectify problems
  • Responsible for performing various administrative support tasks and general clerical tasks
  • Provides support for organization procedures
  • Escalates some concerns to managers
  • Performs other duties as assigned
