About The Position

The Sales Coordinator plays an integral role in supporting the Sales & Marketing team at HALL Park Hotel, ensuring seamless administrative operations, exceptional client service, and efficient coordination of sales activities. This position is responsible for managing inquiries, preparing proposals and contracts, and supporting revenue-generating efforts, while delivering a luxury-level guest and client experience consistent with the hotel’s brand standards.

Requirements

  • 1–2 years of experience in hospitality, sales, or administrative support preferred
  • Strong organizational and time management skills with ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • High attention to detail and ability to thrive in a fast-paced, deadline-driven environment
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Experience with CI/TY systems strongly preferred
  • Customer-focused mindset with a passion for luxury hospitality and service excellence
  • Ability to maintain professionalism and discretion with confidential information

Responsibilities

  • Provide day-to-day administrative support to the Sales & Marketing team
  • Prepare proposals, contracts, and Banquet Event Orders (BEOs) with a high level of accuracy and timeliness
  • Maintain organized and up-to-date sales files, contracts, and account records
  • Manage incoming inquiries and route leads appropriately to the sales team
  • Support the team in achieving revenue and production goals
  • Serve as a point of contact for clients, ensuring prompt, professional, and polished communication
  • Coordinate site tours and client visits, ensuring a warm and elevated experience
  • Assist in the planning process to ensure a smooth transition to operations teams
  • Build positive relationships with clients to enhance satisfaction, loyalty, and repeat business
  • Maintain and update all opportunities and accounts in CI/TY systems with accuracy and timeliness
  • Track sales activities, bookings, and assist with revenue reporting
  • Support preparation of weekly, monthly, and quarterly sales reports
  • Ensure data integrity and consistency across all systems and platforms
  • Assist with group bookings, rooming lists, and event details
  • Coordinate internally with operations, catering, front office, and revenue teams
  • Support event execution as needed to ensure client expectations are met and exceeded
  • Work closely with Sales Managers to support account management, prospecting, and follow-up
  • Participate in sales meetings and team initiatives
  • Assist with marketing efforts, including promotions, collateral updates, and campaigns
