About The Position

The Sales Administrator is a highly relied-upon role within The Plexus Groupe's sales organization, based at their Deer Park, IL headquarters. This position is crucial for enabling a team of 20 producers and a Director of Sales to operate at full capacity. The administrator is responsible for meticulous calendar management, ensuring CRM records are accurate, preparing proposals, and preventing tasks from falling through the cracks. The role involves direct interaction with clients and prospects for scheduling, coordination with service and account management teams, and serving as a trusted extension of the producers. The scope of this role is expected to expand significantly as the team grows, with an anticipated headcount increase of at least 20 percent annually, offering substantial growth opportunities for the right individual.

Requirements

  • High School Diploma Required, BS preferred or equivalent experience; the right skills, work ethic, and demonstrated follow-through are critical to this role
  • High level proficiency in Microsoft Office programs including Outlook, Word, Excel, and PowerPoint
  • Proficiency in Adobe Acrobat
  • Experience with CRM systems
  • Ability to communicate professionally with clients, prospects, and internal team members both orally and in writing
  • Ability to set priorities and manage workflow accurately across multiple responsibilities and a growing team
  • Ability to work independently and in close coordination with others, shifting between both as the day requires
  • Exceptionally detail-oriented with strong organizational skills and consistent follow-through
  • Responds to requests with urgency and takes ownership of outcomes

Responsibilities

  • Manage calendars for a team of 20 producers, coordinating prospect and client meetings via phone and email with professionalism and efficiency
  • Serve as a reliable point of contact for scheduling with clients, prospects, service teams, and internal stakeholders
  • Audit HubSpot CRM activity following producer accountability meetings and ensure pipeline data accurately reflects what was discussed
  • Maintain overall CRM hygiene so the system functions as a trusted source of truth for the Director of Sales and leadership
  • Prepare pipeline and producer scorecard reports ahead of coaching conversations and leadership reviews
  • Prepare proposal materials and client-facing documents so producers walk into every meeting equipped and ready
  • Coordinate with service and account management teams on behalf of producers to keep cases moving forward without disrupting selling activity
  • Support the Director of Sales in maintaining the day-to-day operating rhythm of the sales organization
  • Any other duties as requested by management
