About The Position

The role of a Sales Administrator is to manage incoming customer inquiries and support the outside sales force with daily sales administration activities. This includes accurately processing a high volume of orders, processing invoices for all sales transactions, setting pricing, and verifying contracts to ensure they are up to date. The Administrator works directly with the customer on bookings and entry and has a wide latitude of communications with the Vice President and internal staff. This position will perform a wide range of inside sales duties related to the daily operations of the sales department. The Sales Administrator is often the final point of contact for prices, delivery dates, and customer expedites, and may manage several small customers. They liaise with other departments, collect large past due accounts, and research new product offerings.

Requirements

  • 2-year AA degree in Business Administration or equivalent experience
  • 5+ years of sales support or related experience, manufacturing or technical industry
  • Excellent written and verbal communication skills
  • Intermediate SAP or other ERP experience
  • Must be able to work accurately with high attention to detail
  • Up to 10% travel, local, and domestic
  • Intermediate computer skills, including Excel and PowerPoint
  • Outstanding organizational and multitasking skills
  • Eligible to work in an ITAR environment

Responsibilities

  • Manage incoming customer inquiries and support the outside sales force with daily sales administration activities.
  • Accurately process a high volume of orders and invoices for all sales transactions.
  • Set pricing and verify contracts to ensure they are up to date.
  • Work directly with customers on bookings and entry, acting as the final point of contact for prices, delivery dates, and expedites.
  • Manage several small customer accounts.
  • Liaise with other departments, including Logistics, to confirm timely deliveries and resolve problems.
  • Collect large past due accounts and research new product offerings.
  • Enter and maintain sales records and customer changes, verifying accuracy of sales and credit teams.
  • Liaise with Japan colleagues daily via email or video call.
  • Perform fulfillment of orders from intake to delivery using the SAP system.
  • Prepare and maintain status reports using various tracking tools.
  • Travel to customer sites, attend tradeshows, or drive sales activity within own account base as needed.
  • Train sales support team on various duties as assigned.
  • Model the "customer first principle" to ensure customer satisfaction.
  • Generate monthly reports on shipments, sales orders, cancellations, and transfers.
  • Commit to meeting or exceeding sales targets and report deviations or trends.
  • Prioritize work and succeed under deadlines, balancing own sales account activity while supporting multiple outside sales representatives.
  • Assist with sales event planning as assigned.
  • Perform any other related duties as required or assigned.
