The Sales Administrative Assistant for Multi Hotel Sales is responsible for a variety of administrative and clerical duties. This includes entering and retrieving information from computer databases for records, files, reservations, and guest inquiries, as well as transmitting documents via computer, mail, or facsimile. The role requires operating standard office equipment, preparing various documents using word processing, spreadsheet, database, or presentation software, and managing incoming and outgoing mail. Key organizational tasks involve creating and maintaining computer- and paper-based filing systems and compiling, copying, sorting, and filing records of office activities and business transactions. The assistant must also follow all company policies and procedures, maintain a professional appearance, ensure confidentiality, and protect company assets. Guest interaction is a significant part of the role, requiring the assistant to welcome and acknowledge guests, anticipate and address their service needs, assist individuals with disabilities, and express genuine appreciation. Professional communication, accurate document preparation, and appropriate telephone etiquette are essential. The position also emphasizes developing positive working relationships, supporting team goals, and responding to employee concerns.
