About The Position

The purpose of the Sales Administration Specialist is to support and enable the sales organization by ensuring efficient, accurate, and streamlined administrative and operational processes. This role serves as the backbone of sales operations, managing critical tasks such as order processing, data management, reporting, and cross-functional coordination. By maintaining data integrity, facilitating communication between departments, and supporting the sales team with timely information and documentation, the Sales Administration Specialist helps the organization maximize revenue, improve operational efficiency, and deliver exceptional customer service. The Sales Administration Specialist plays a vital role in supporting the sales organization through effective management of administrative and operational tasks. This position is responsible for maintaining the accuracy of sales data, processing orders, preparing performance reports, and ensuring smooth coordination between sales, finance, logistics, and customer service teams. The ideal candidate will be highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities in a fast-paced corporate environment.

  • At least 1 years experience as sales and/or operations support position.

Responsibilities

  • Process sales orders, quotations, and purchase requests accurately and in compliance with company policies
  • Maintain and update customer accounts, pricing, and product data in internal systems
  • Verify order details for accuracy, including pricing, terms, and product availability
  • Monitor the progress of customer orders to ensure timely fulfillment and delivery
  • Coordinate with production and shipping teams to resolve order discrepancies or delays
  • Generate and analyze weekly, monthly, and quarterly sales reports
  • Track and report on sales performance, pipeline metrics, and customer trends
  • Assist with the development of sales forecasts and target tracking
  • Support commission and incentive calculations by verifying data accuracy and eligibility
  • Manage communication between the sales department and other internal stakeholders to ensure alignment
  • Maintain complete and accurate customer and product records in internal databases
  • Deliver weekly, monthly, and quarterly sales performance reports on schedule
  • Track and document all contract renewals, expirations, and pricing updates
  • Ensure seamless coordination with finance, logistics, and customer service teams to resolve order or billing issues
  • Facilitate timely communication of key sales information between departments (e.g., product launches, pricing changes)
  • Respond to internal and external inquiries within established response times (typically 1 business day)
  • Maintain confidentiality of sensitive customer and company information at all times
