About The Position

Proudworks is seeking a highly organized, proactive, and strategic Safety & Compliance Manager to lead and strengthen agency-wide safety, risk management, and regulatory compliance infrastructure. This role serves as the organization’s internal subject matter expert on safety and compliance, providing both operational oversight and strategic guidance across departments, with a strong emphasis on Transportation Services. The Safety & Compliance Manager will help build scalable systems, strengthen audit readiness, mitigate risk exposure, and support regulatory excellence across agency operations, services, public grants, and contracted transportation programs. As Proudworks continues to grow and diversify its funding and service footprint, this position will play a foundational role in developing sustainable compliance frameworks that support long-term operational excellence. This role is 100% in-person, and based at Proudworks’ headquarters in Florence, KY.

Requirements

  • Bachelor’s Degree in a related field OR equivalent combination of relevant work experience and education (civilian and/or military).
  • Strong computer proficiency, including Microsoft Office Suite (Excel, Word, Outlook, Teams); advanced Excel skills strongly preferred.
  • Strong written and verbal communication skills.
  • Exceptional work ethic and time management skills.
  • Reliable transportation.
  • Ability to work 100% in-person at our Florence, KY headquarters.
  • Some travel may also be required within the Greater Cincinnati.

Nice To Haves

  • Five (5) or more years of experience in nonprofit, human services, management, transportation, and/or similarly regulated environments.
  • Involvement with and/or working knowledge of safety programs, compliance oversight, risk management, and/or regulatory operations.
  • Experience with transportation operations, vehicle safety, and/or fleet support.
  • Familiarity with Title VI, ADA, DOT, KY Medicaid waivers, FTA, DOL Section 14(c), and civil rights compliance frameworks.
  • Experience building or improving organizational compliance infrastructure.
  • Strong analytical and systems-thinking capabilities.
  • Experience in preparing for insurance and regulatory reviews.
  • Working knowledge of digital records systems and cloud-based platforms.

Responsibilities

  • Lead development, implementation, and continuous improvement of agency-wide safety policies and procedures.
  • Identify risk exposures and implement mitigation strategies aligned with organizational growth.
  • Coordinate fire, tornado, and other safety drills for the organization; facilitate fire extinguisher and sprinkler maintenance, along with other facility safety protocols.
  • Organize and/or facilitate relevant safety training for team members.
  • Conduct safety audits, inspections, and corrective action planning.
  • Support incident investigation, root-cause analysis, and prevention planning.
  • Partner with managers and directors regarding safety and regulatory requirements.
  • Promote a culture of continuous safety improvement.
  • Chair the organization’s Safety Committee to ensure the committee is focused on accident prevention and safety awareness.
  • Maintain and update the organization’s Title VI Plan to ensure compliance with all federal civil rights requirements.
  • Maintain and update the organization’s SAM.gov registration and KY Medicaid provider partner portal.
  • Coordinate and support the DOL Section 14(c) Certificate, including but not limited to, preparing time studies and completing the application renewal process.
  • Collaborate closely with managers and staff from other departments with preparation, implementation, and follow-up during program compliance reviews, audits, and monitoring visits.
  • Maintain working knowledge of requirements from oversight agencies including the Kentucky Cabinet for Health and Family Services, Kentucky Transportation Cabinet, Federal Transit Administration, Vocational Rehabilitation, transportation broker, and other applicable regulatory bodies.
  • Review documentation systems for retention, accessibility, and audit-readiness standards.
  • Ensure adherence to transportation compliance requirements tied to Medicaid-funded trips, broker contracts, and state transportation oversight standards.
  • Review and strengthen record retention of fleet repair, preventative maintenance, inspections, driver certifications, and credentialing.
  • Monitor compliance with safety and reporting standards required by applicable state and federal transportation agencies.
  • Perform ride-a-longs and monitor vehicle GPS & video footage for optimal safety.
  • Support documentation and reporting requirements associated with transportation brokers and funding partners.
  • Collaborate with Transportation team to strengthen operational safety systems and improve risk mitigation processes.
  • Utilize dispatching, scheduling, and transportation software to monitor compliance metrics, data, and performance indicators.
  • Strengthen and expand centralized compliance documentation and digital records archives.
  • Maintain and strengthen agency-wide safety and compliance data dashboards and reporting systems.
  • Generate reports for leadership, board, funders, and regulatory agencies.
  • Utilize cloud-based platforms (case management, CRM, dispatch, scheduling software) to strengthen data integrity and reporting accuracy.
  • Analyze trends and provide executive-level recommendations to improve safety outcomes and compliance readiness.
  • Partner with directors and managers to strengthen safety & compliance infrastructure aligned with Proudworks’ Strategic Plan.
  • Identify opportunities to modernize systems, reduce risk exposure, and enhance audit readiness.
  • Support development of scalable processes as the organization expands services and funding streams.
  • Serve as an internal advisor to department leaders on safety and compliance best practices.
  • Contribute to long-term organizational sustainability through proactive risk management and regulatory alignment.
  • Collaborate closely with all internal departments.
  • Represent Proudworks in a professional and collaborative manner at local, regional, and statewide meetings, committees, and partner or funder-related gatherings as appropriate.
