About The Position

The Risk Management Compliance Coordinator provides critical operational and administrative support to the Risk Management team, including but not limited to responsibilities related to insurance compliance, incident reporting, and fuel operations. This role ensures the timely and accurate processing of key functions within these areas. The position serves as a liaison between internal departments, store locations, and external vendors to support regulatory compliance and risk mitigation efforts across the enterprise.

Requirements

  • High school diploma or equivalent required.
  • Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
  • Excellent written and verbal communication skills.
  • High attention to detail and the ability to handle confidential and sensitive information appropriately.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with vendor management or compliance systems preferred.
  • Ability to see details at close range, with or without correction.
  • Ability to perform sedentary work in an indoor office environment, including sitting at a desk and working at a computer for extended periods of time.
  • Ability to occasionally lift or carry objects up to 10 pounds and occasionally stand or walk.
  • Ability to perform physical activities such as stooping, kneeling, reaching, handling, grasping, feeling, talking, hearing, and repetitive motions.

Nice To Haves

  • Associate degree in a related field or three (3) or more years of relevant work experience preferred in risk management, compliance, insurance, or a related administrative support role.
  • experience with vendor management or compliance systems preferred.

Responsibilities

  • Distributes daily mail and incoming correspondence for the Risk Management department.
  • Processes enterprise-wide Certificate of Insurance (COI) requests, escalating to department leader as needed for review and approval.
  • Maintains and files all Risk Management correspondence in accordance with record retention guidelines.
  • Reviews incident reports submitted by locations and routes them to the appropriate Risk Management team member for follow-up.
  • Partners with compliance vendors to manage renewal and compliance tracking for fuel tank operations, coordinating with state agencies and regulators to ensure current and accurate documentation.
  • Coordinates Underground Storage Tank (UST) inspections for convenience stores.
  • Prepares annual UST renewals and manages the application process for new convenience store financial responsibility requirements.
  • Monitors and maintains Certificates of Insurance (COIs) within vendor management systems to ensure alignment with approved enterprise risk appetite, escalating issues, concerns, or exceptions to department leader as needed.
  • Reviews company vehicle toll charges and communicates or routes items to the appropriate parties for resolution.
  • Reviews company vehicle recall notices and communicates or routes them to the appropriate parties for follow-up and resolution.
  • Monitors Motor Vehicle Reports (MVRs) for trends and escalates concerns to the Director of Risk Management for review.
  • Provides general administrative and project support to the Risk Management team, including recordkeeping, documentation, and communications.
  • Monitors the COI insurance inbox for vendor insurance compliance updates, ensuring timely review and appropriate follow-up.
  • Monitors the RMFuel inbox for fuel compliance-related communications, ensuring items are reviewed, tracked, and routed as necessary.
  • Monitors Risk Management department inbox and routes correspondence to appropriate team member.
  • Escalates complex or sensitive issues directly to the Risk Management Department leader for review and resolution.
  • Maintains regular and predictable attendance and works the expected number of scheduled hours.
  • Performs all other duties as assigned.
