About The Position

Under general supervision, supports the Risk Management Team in handling all matters related to VOA-GNY’s insurance and risk program.

Requirements

  • Sixty college credits or satisfactory combination of education and experience.
  • Proficient in Excel, Word, and the ability to prepare and monitor complex databases.
  • Ability to effectively organize information, with strong attention to detail, accuracy, and deadlines.
  • Ability to communicate effectively with service sectors, management, and insurers.

Responsibilities

  • Assist with the application, coordination and communication with management and insurance providers regarding all insurance policies , including general liability, property, auto, professional, umbrella and excess, workers compensation, directors and officers, fiduciary, cyber, flood and construction insurance.
  • Perform timely processing of department invoices (e.g., premiums, legal, driver records).
  • Provide supporting documentation/information for refund checks for returned premiums and insurance claim reimbursements to enable Finance to apply payments appropriately.
  • Assist with management of insurance certificate requests from the programs, government agencies and other third parties.
  • Request new certificates of liability, evidence of property, workers compensation insurance certificates, and certifications by broker from insurance broker on an on-going and prompt basis.
  • Assist with the reporting and tracking of insurance claims.
  • Provide updates and work closely with all parties to the various types of claims.
  • Prepare and maintain related paperwork and spreadsheets on claims and status.
  • Prepare documentation and report changes that must be made to current insurance policies to our insurance brokers.
  • Quarterly review of exposure workbook.
  • Maintain and update endorsement file.
  • Assist with the organization’s vehicle program, including monitoring drivers’ database, tracking vehicle alerts, conducting background checks, securing parking permits, and reporting.
  • Assist with requests, processing, and follow-up on subpoenas and approval of video footage requests.
  • Assist in developing and maintaining internal compliance policies and procedures that align with legal requirements and best practices.
  • Prepare and submit required compliance reports to government agencies, funding bodies, and other stakeholders. These include but are not limited to Affirmative Action Plans, EEO-1, OSHA 300 reports.
  • Track and document required compliance committees/meetings including quarterly organization compliance and quarterly Medicaid compliance committees.
