About The Position

The Residential Services Office Assistant provides administrative support to ensure the office's efficient operation. This role supports managers and employees through a variety of tasks related to organization and communication. The Office Assistant is responsible for confidential and time-sensitive material and is familiar with a variety of the field's concepts, practices, and procedures.

Responsibilities

  • Answer and direct phone calls, take messages and handle correspondence.
  • Greet visitors and direct them to the appropriate person or department.
  • Maintain electronic and hard copy filing systems.
  • Retrieve documents from filing systems as needed.
  • Enter data into databases and ensure the accuracy of information.
  • Update and maintain office policies and procedures.
  • Communicate with clients, suppliers, and employees.
  • Handle requests for information and data.
  • Assist in the preparation of regularly scheduled reports.
  • Provide support to other departments as needed.
  • Assist in developing departmental expense reports.
  • Complete member billing by the end of each work day
  • Provide support throughout all services provided by the Residential Services department
  • Update the Property Management team with any homeowner requests or vendor access
  • Monitor and maintain office supplies inventory.
  • Order office supplies and research new deals and suppliers.
  • Ensure the office is clean, organized, and well-maintained.
  • Maintain package and mail room organization
  • Other duties will arise from time to time.
