About The Position

Serves as the initial contact person for prospective residents and their families, manages prospect database and coordinates new moves into the community, as well as internal transfers. Provides administrative support and primary back-up for the Director of Residency Planning and Residency Planning Counselor, including giving tours. Provides administrative support for Residency Planning, including answering phones, responding to inquiries and entering information into prospect database. Maintains prospective resident information in database. Coordinates new moves into the community, as well as internal transfers. Arranges for future residents to see their new home. Holds appointment with transferring residents and new residents to guide them through option selections process. Meets with resident or family when accommodations are vacated. Sends out email notification to other departments. Maintains inventory of Residential Living keys for vacant home. Cleans and tags keys for vacant accommodations. Does vacated inspection with Project Manager and prepares renovation checklist. Facilitates and participates in completion inspection prior to new move. Schedules and holds turnover appointments with new residents at time of move-in. Visits all new residents one to two weeks after move. Enters new resident information into database and forwards information as required. Compiles list of responses from annual mailing and enters information into CRM. Maintains inventory of marketing packets and information for new residents. Assists with collecting deposits and payments and delivers them to Finance. Prepares new resident files for the Director of Residential Living. Communicates calmly and gently with residents, family members and staff, exhibiting patience, compassion, understanding and sensitivity.

Requirements

  • High school diploma/GED or demonstrated proficiency in reading and writing skills required
  • Maintains current valid Pennsylvania driver's license
  • Able to work independently, well-organized, and can multi-task
  • Proficient in use of computer and related technology required for the role
  • Good verbal, non-verbal and written communication skills required
