Requirements

  • Customer service superstar with a passion for problem-solving and organization.
  • Strong communicator: Excellent phone skills, active listening, and clear email correspondence.
  • Tech-savvy: Comfortable using Microsoft Outlook, Word, Excel, and service scheduling software.
  • Master multitasker: Able to juggle scheduling, invoicing, and customer interactions like a pro.
  • Detail-oriented & highly organized: You’ll be managing a lot of moving parts, so accuracy is key.

Responsibilities

  • Manage repair schedules and ensure appointments are set based on technician availability and customer needs.
  • Keep our scheduling system updated with accurate, real-time information.
  • Communicate with field technicians to ensure work orders are completed on time and rescheduled as needed.
  • Serve as a point of contact for customers—providing updates, answering questions, and resolving any concerns.
  • Keep customers informed about scheduling, invoices, and service progress.
  • Notify customers of any changes, ensuring clear expectations for timelines and costs.
  • Create and manage repair work orders, ensuring all details are properly documented.
  • Generate accurate invoices for completed jobs and work with accounting to resolve any discrepancies.
  • Track open work orders and follow up on any incomplete tasks to ensure nothing slips through the cracks.
  • Reconcile truck inventory for repair technicians, ensuring stock levels remain within acceptable thresholds.
  • Monitor the use of parts and tools, coordinating restocking as needed.
  • Track key performance indicators (KPIs) such as service completion rates and rescheduled work orders.
  • Support technicians in closing out work orders and planning for the next day.
  • Ensure that all work is documented correctly and efficiently.
