About The Position

The Regulatory Specialist is responsible for supplier certification and the maintenance and review of all documentation related to supplier and ingredient approval for Chesapeake Spice Company’s Supplier and Item Approval Programs. This role works closely with suppliers, Procurement, Quality Control, and R&D to ensure compliance with all applicable U.S. food laws and regulations, including FDA, USDA, FSMA, and FSVP requirements. The position also supports ongoing regulatory research to ensure Chesapeake Spice Company remains compliant with evolving regulatory standards.

Requirements

  • Associate’s degree in food science, Biology, Nutrition, or a related field required; bachelor’s degree preferred. Relevant coursework, industry certifications, or an equivalent combination of education and experience will be considered
  • Minimum of 3 years of experience in food manufacturing regulatory affairs, quality assurance, or related compliance roles
  • Strong working knowledge of FDA and USDA regulations, FSMA/FSVP requirements, and food safety documentation
  • Proven experience reviewing, interpreting, approving, and managing regulatory documentation, with the ability to question and challenge inconsistencies
  • Familiarity with regulatory and documentation platforms such as TraceGains, DocuSign, or similar systems
  • Proficiency in Microsoft Office and comfortable working with technical portals and spreadsheets
  • Excellent attention to detail and strong organizational skills, with the ability to manage multiple priorities
  • Strong written and verbal communication skills and ability to work cross-functionally with Sales, R&D, Purchasing, QC, and other departments
  • Demonstrated sense of urgency and ability to follow up with internal teams to meet deadlines
  • Ability to independently identify potential compliance issues and coordinate follow-up with internal stakeholders and suppliers
  • High level of discretion when handling proprietary and confidential information
  • Proficiency in reading, writing, and communicating in English for documentation accuracy and regulatory compliance
  • Visual acuity sufficient to read and verify regulatory documents
  • Ability to perceive and respond to verbal instructions and safety cues, with or without reasonable accommodation
  • Ability to sit and work at a computer for extended periods
  • Occasionally lift and carry up to 25 pounds
  • Perform light physical activities including reaching, grasping, pinching, stooping, and kneeling
  • Ability to work in environments with noise, spice dust, allergens, and strong odors
  • Tolerance for temperature changes, including cold and hot work environments
  • This position requires full-time, on-site presence at the Chesapeake Spice Company facility

Responsibilities

  • Serve as the primary administrator and key contact for the TraceGains platform, including implementation and ongoing management
  • Implement, maintain, and update policies and procedures related to Chesapeake Spice Company’s Supplier and Item Approval Programs
  • Maintain complete and accurate material, ingredient, and supplier files, ensuring all documentation is current and compliant
  • Collaborate with the Regulatory Supervisor to approve all new suppliers, including verification that foreign suppliers meet FSMA/FSVP and company requirements
  • Collaborate with the Regulatory Supervisor to approve all new ingredients and ensure compliance with FSMA/FSVP and internal standards
  • Communicate with suppliers as needed to obtain required regulatory documentation and information
  • Reapprove suppliers and ingredients within required timeframes based on assigned risk levels
  • Review updated supplier and ingredient documentation to identify and assess changes from previously approved versions
  • Interpret and evaluate supplier and ingredient documentation for regulatory compliance
  • Complete regulatory sections of DocuSign forms and related documentation
  • Assist with and complete special projects as assigned
  • Support the Regulatory Supervisor with regulatory inquiries and serve as backup when needed
  • Exercise discretion and independent judgment in matters related to regulatory compliance
  • Protect proprietary and confidential company information
  • Perform filing and general administrative duties
  • Carry out other duties as assigned or directed
