About The Position

The Bureau of Field Operations is responsible for the survey and certification process of health care facilities across the State of Florida. These surveys ensure that all state licensed, and federally certified health care facilities meet the established state and/or federal requirements and patients and residents receive safe, quality health care. Field Operations staff also ensure the safety of residents in health care facilities when emergencies such as natural disasters occur.   This position has been identified as mission essential. The incumbent in this position may be required to work during the weekend or on holidays. In addition, mission essential personnel will be required to work during disasters, to include but not limited to, work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency work may involve the incumbent to work in another county or staffing location to assist other State Agencies with emergency work. Emergency duties may include, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.   This is professional work performing regulatory activities for the Survey and Certification Support Branch in the Division of Health Quality Assurance, Bureau of Field Operations. Requirements

  • Ability to compile, organize and analyze data.
  • Ability to conduct fact-finding discussions.
  • Ability to investigate, analyze, and resolve complaints.
  • Ability to understand and apply Florida Statutes, rules, policies and procedures for licensing and regulation of professionals and facilities, and consumer protection.
  • Ability to provide consultative assistance to others.
  • Ability to plan, organize and coordinate work activities.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to establish and maintain effective working relationships with others.
  • Two (2) years of professional or nonprofessional experience in administrative work and/or computer data entry.

Nice To Haves

  • Preference will be given to candidates with experience in SharePoint, Laserfiche and/or VERSA systems.

Responsibilities

  • Prepares and reviews reports timely, ensuring proper handling of those that contain confidential and sensitive information.
  • Completing assignments from CorrFlow, completing public record, Freedom of Information Act (FOIA) Medicaid Fraud Control Unit (MFCU) requests within timeframes assigned, redacting PHI/PII in accordance with Agency protocols.
  • Manages files, both hard-copy and electronic documents.
  • Classifying, sorting, copying, scanning, collating, filing, retrieving, and archiving in the Agency’s document management system, Laserfiche.
  • Conducts Quality Assurance (QA) reviews to ensure data integrity of survey kits entered into the Automated Survey Processing Environment (ASPEN) and documents scanned into Laserfiche, correcting database entries as required and in accordance with Agency protocols.
  • Collates and files documents as necessary.
  • Serve as the primary scanner for all Survey and Certification Support Branch documents.
  • Communicates in writing and by phone with other work units, consumers and providers as required to resolve QA and technical support issues, and follows up as necessary.
  • Prepares materials for meetings/trainings, assists with equipment setup and provides ongoing support.
  • Acts as back-up receptionist for the unit, monitors CLOUD faxes, ensures incoming calls are answered and correspondence is handled timely.
  • Serve as back-up for My Florida Marketplace.
  • Identifies budget issues and assists in problem solving.
  • Reviews monthly budget reports and submits approvals and/or corrected information by the designated due dates.
  • Serve as backup for some Aspen Help duties by Providing technical support to internal staff and external providers for regulatory-related projects including processing a high volume of emails, data entry into various systems.
  • Provides input and recommendations, assists in formulating and recommending programs and procedures to improve data integrity.
