Purpose The University Registrar provides institutional leadership for academic records management, registration, and related student services, ensuring the integrity, security, accuracy, and confidentiality of student academic records in accordance with University policy, accreditation standards, and federal and state regulations. The Registrar serves as the University’s chief steward of academic records, degree certification, and student academic information systems, supporting equitable policy application and student success in a technology-enabled environment.

Requirements

  • Bachelor’s Degree required with extensive registrar experience; Master’s Degree preferred
  • 3-5 years supervisory and management experience in a registrar’s office at an accredited institution of higher education
  • extensive experience working within a Student Information System (SIS), digital student records, registration, degree auditing systems, and course scheduling systems
  • knowledge of federal and state laws regarding student records including FERPA
  • experience with the interpretation and implementation of academic records policies and procedures
  • Experience working collaboratively across many campus departments strongly desired.

Nice To Haves

  • While not required, experience working with the following systems are a plus: Coursedog (curriculum and catalog), Freedom/Shamrock (AI transcript evaluation).
  • Familiarity with reporting tools, data retrieval process, and/or SQL is a plus.
  • Proficiency with Microsoft products including Google docs.

Responsibilities

  • Serves as the institutional authority for student academic records, ensuring data integrity, confidentiality, and compliance with FERPA and other applicable regulations
  • Establishes, interprets, and consistently applies academic policies related to registration, grading, academic standing, degree requirements, and records maintenance
  • Maintains official student academic records, including corrections and updates in accordance with approved policy and audit standards
  • Serves as the official degree-certifying officer of the University
  • Oversees transfer credit evaluation and articulation in accordance with institutional policy and accreditation expectations
  • Along with University Legal Counsel, serves as a resource on FERPA and student records compliance
  • Provides leadership for registration operations, academic scheduling, and term setup in the student information system
  • Oversees course scheduling, section management, enrollment limits, and waitlist policies in collaboration with academic units
  • Monitors new and revised undergraduate and graduate courses and programs in coordination with curriculum committees
  • Oversees curriculum and catalog management using Coursedog, including collaboration with governance committees
  • Oversees graduation application review, degree audit, and degree posting for all conferral cycles
  • Coordinates Registrar’s Office responsibilities for commencement, including verification of graduate eligibility, honors, and official commencement materials
  • Oversees implementation and maintenance of degree audit systems
  • Collaborates with the Vice Provost and academic leadership on academic action decisions, appeals, and policy interpretation
  • Supports grade and registration appeals processes, ensuring fairness, consistency, and documentation
  • Serves as an ex-officio member of academic governance bodies, including the Graduate Council and the Committee on Curriculum and Educational Policies (CCEP)
  • Serves on President’s Council
  • Provides leadership in the use of technology to support academic records, registration, grading, and degree audit processes
  • Involved in system testing and edge-case validation.
  • Collaborates with Information Technology and academic leadership on the implementation, enhancement, and optimization of student information systems and related platforms
  • Oversees records retention practices
  • Collaborates on continuous improvement initiatives for registration, grading, and student/faculty information modules within institutional systems
  • Supervises, trains, and evaluates Registrar’s Office staff; promotes cross-training and operational resilience as needed
  • Manages the Registrar’s Office budget, purchasing, and vendor relationships
  • Represents the Registrar’s Office in institutional initiatives and cross-campus collaborations
  • Oversees dual-enrollment registration and grade submission processes in collaboration with local Catholic high schools
  • Communicates academic timelines, policies, and procedures to faculty, staff, and students
  • Maintains Registrar’s Office web content and published academic information
  • Oversees attendance verification, progress reporting, and midterm and final grade submission processes
  • Supervises NCAA eligibility certification, reporting, and documentation in compliance with NCAA and institutional requirements
  • Participates in professional organizations and ongoing professional development, including AACRAO and OACRAO, to ensure alignment with national best practices
