About The Position

The Registrar manages student records and enrollment processes for Rocky Mountain Classical Academy. This role includes maintaining accurate and confidential student records, coordinating all aspects of enrollment, preparing reports, and supporting school scheduling and compliance needs. The Registrar serves as a primary point of contact for families, staff, and external agencies regarding student enrollment and records.

Requirements

  • Strong verbal and written communication skills, with the ability to interact effectively with a wide range of individuals and groups
  • Ability to work independently, prioritize tasks, and meet deadlines efficiently
  • Commitment to upholding ethical standards, accountability, and integrity in managing student records
  • Database and data entry experience (PowerSchool experience preferred)
  • Proficiency in Microsoft Office, Gmail, and Google Drive
  • Ability to establish and maintain positive relationships with parents, students, and staff

Responsibilities

  • Manage student records and ensure accuracy, organization, and confidentiality.
  • Oversee all aspects of student enrollment, from initial inquiry through final enrollment.
  • Utilize student information systems to input and update student data accurately.
  • Prepare reports on student enrollment, attendance, and academic progress.
  • Maintain accurate cumulative student files and records.
  • Process student withdrawals and ensure records are transferred appropriately.
  • Communicate with Elementary and Middle School schedulers about roster changes.
  • Promptly answer calls or emails regarding enrollment inquiries.
  • Provide campus tours for prospective students and their families.
  • Coordinate annual Prospective Family Nights and other enrollment events by actively partnering with and participating in community events to increase visibility, engagement, and outreach to prospective families.
  • Collaborate with District 49 and PowerSchool tech support to ensure timely submission of state reports, including October Count reports.
  • Perform other duties as assigned by the Executive Director.
